Executive Assistant and Department Support

Part-Time | Remote (Ontario or New Brunswick)

Approximately 10-15 Hours Per Week

Position Summary

We are seeking a highly organized and detail-oriented Executive Assistant to support the Managing Director and provide administrative, documentation and departmental support on a part-time basis.

This role requires a logical, structured approach and the ability to organize complex information. The successful candidate will maintain files and records, document processes using company-provided AI tools, support administrative activities and help keep internal systems accurate and organized.

Responsibilities

Executive and Administrative Support

- Provide administrative support to the Managing Director and departmental teams.
- Manage the Managing Director's schedule and support the organization and handling of inbox messages.
- Assist with scheduling, document preparation, record management, and administrative projects.
- Maintain organized digital filing systems and departmental records.
- Maintain digital files and folders according to established naming and filing conventions.
- Support internal workflow coordination and other administrative activities as required.
- Follow established processes and procedures with a high degree of accuracy and consistency.

Technical Writing and Documentation

- Create and maintain process documentation using company-provided AI tools, templates and standards.
- Review process videos and convert procedures into clear, organized written documentation.
- Assist with document formatting, proofreading and quality review.
- Identify missing information, inconsistencies and opportunities for improved organization.

Qualifications

- Strong organizational skills and attention to detail.
- Excellent written communication skills.




- Exceptional skills in MS Office applications; MS Office certification is preferred
- Additional opportunities may be available to those with mastery of power apps and agents
- Ability to follow instructions and documented procedures accurately.
- Comfortable learning and using new software and AI-based tools.
- Legally entitled to work in Canada.
- Must reside and perform work in either Ontario or Current Brunswick.

Company Equipment and Remote Work Requirements

This position is performed remotely. The successful candidate must:

- Maintain reliable internet access sufficient to perform assigned duties.
- Protect company and client information from unauthorized viewing or access.
- Follow all company cybersecurity, technology and information management requirements.
- Use company-provided equipment, software and accounts only for authorized business purposes.
- Properly care for and safeguard all company-owned equipment.
- Protect devices from loss, theft, damage or unauthorized use and report any concerns.
- Maintain password security and follow all technology security requirements.
- Return all company property immediately upon request or upon the conclusion of employment.

Compensation and Work Arrangement

Position Type: Part-Time

Location: Remote (Ontario or New Brunswick only)

Hours: Approximately 10 - 15 hours per week

Compensation: $19.50 ~ 21.00 per hour

Candidates located in or near Saint John,



New Brunswick may benefit from additional onboarding and training opportunities.

This position is best suited to someone who enjoys structure, organization and creating consistency.

This role requires exceptional written communication skills in English and the ability to handle confidential company and client information responsibly. The successful candidate will identify opportunities to improve existing systems, procedures and documentation while maintaining strong attention to detail.
