Overview
We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that administrative functions run smoothly and efficiently. Duties
- Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
- Perform data entry tasks accurately using Microsoft Office Suite, Google Workspace, and QuickBooks to maintain up-to-date records
- Handle clerical responsibilities such as filing, photocopying, proofreading documents, and organizing office supplies
- Support bookkeeping activities including invoicing, expense tracking, and basic financial record-keeping with QuickBooks
- Provide exceptional customer service by addressing inquiries promptly and supporting clients or patients in person or via phone
- Coordinate appointments, schedule meetings, and maintain calendars to optimize office workflow
- Assist in medical or dental office settings by managing patient records,
verifying insurance information, and supporting administrative needs
Skills
- Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Drive), and QuickBooks
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
- Demonstrated clerical experience including filing, data entry, proofreading, and document management
- Exceptional customer service skills with professional phone etiquette and experience handling multi-line phone systems
- Previous administrative experience in an office setting; experience in medical or dental offices is a plus
- Ability to type quickly with high accuracy; strong attention to detail for proofreading and data verification
- Knowledge of bookkeeping procedures including invoicing and expense management using QuickBooks or similar software
