Asset Management Analyst

Location: Toronto, ON

Onsite Flexibility: Hybrid

Contract Details

- Position Type: Contract
- Contract Duration: 13 months (with potential for extension, depending on business needs)
- Pay Rate: C$20.00–C$28.00 / Hour (CAD)
- Shift / Schedule: 37.5 hours/week, 9:00 AM – 5:00 PM, Monday to Friday. In-office on Tuesdays and every 2nd Friday of the month (5 days/month); in-office days may be 8:00 AM – 4:00 PM or 9:00 AM – 5:00 PM. First week will be in-person for training purposes. No overtime.

Job Summary The Asset Management function supports two key areas: the Procurement Team, responsible for the acquisition and purchasing of enterprise technology assets including laptops, monitors, and related equipment; and the Inventory Management Team, responsible for the lifecycle management of enterprise assets including hardware tracking and inventory management, asset transfers between locations, compliance documentation and recordkeeping, and asset returns, disposal, and end-of-life processing. The successful candidate will be supporting the Procurement Management arm of the team. The role involves receiving and processing requests for technology goods and services, consulting with clients to provide alternative solutions ensuring standards, policies and guidelines are followed, and working with external suppliers on large requests to achieve cost reductions.

Key Responsibilities

- Work with internal business partners and external suppliers to ensure appropriate delivery of technology goods and services (e.g., computers, printers, monitors, accessories).
- Validate, resolve issues/concerns, and process invoices ensuring proper documented audit trails are maintained for services not requisitioned through the electronic purchasing system.
- Provide input to the fiscal planning process based on previous trend analysis and planned initiatives/projects identified through consultation with assigned portfolios.
- Understand the difference between capital versus operating expense budgets to ensure appropriate funds are available.
- Explain basic accounting principles when reporting on expenses.
- Assess the best approach to correct vendor billing based on the supported line of business and restrictions related to vendor processes.
- Develop expense management reporting following established transit plans.
- Take corrective action to follow up on billing and asset receipt discrepancies.
- Process client requests in the prescribed manner, ensuring accuracy of allocated charges.




- Provide explanations to clients; when concerns cannot be resolved, refer to a more senior staff member.
- Manage approximately 50 technology asset requests in the ServiceNow queue for IMAC, Refresh, and Project activities for over 40,000 employees. This involves a detailed review of client computer requirements via ServiceNow ticket or email, validation of client information, and a thorough understanding of allocation principles prior to placing an order in PeopleSoft (procurement tool).
- Manage requests from procurement to delivery, ensuring customer, vendor, and onsite contacts are notified and tasks are completed promptly.
- Handle multiple tasks and communications including technology purchases, client inquiries, supply change management, vendor ETAs, ServiceNow queue, and mailbox management.
- Operate effectively in a fast-paced environment with an unlimited supply of work, requiring continuous client focus, product knowledge, and attention to detail.

Required Skills

- 1–2 years of experience supporting procurement and/or asset lifecycle management.
- Strong knowledge of ServiceNow, specifically ticket management.
- Basic Excel knowledge.
- Understanding of technology geared towards desktop assets.
- Service Excellence — ability to understand customer needs and expectations, provide excellent service in a direct and indirect manner, and fulfill customer expectations.
- Relationship Management — ability to establish and build healthy working relations and partnerships with clients, vendors, and peers.
- Process Management — ability to understand, monitor, update, or enhance existing business or work processes.

- Consulting — knowledge of approaches, tools, techniques, and roles and responsibilities in providing technical or business guidance to clients within and outside own area.

Preferred Skills

- Experience with purchasing tools such as Coupa; equivalent tools would also be considered.
- Prior experience working within a financial institution or highly regulated industry — robust asset.
- Experience working with multiple stakeholders, including internal parties and third-party vendors.
- Interpersonal Relationships — knowledge of approaches, tools, and techniques for working with individuals and groups in a constructive and collaborative manner.
- Written Communications — ability to produce a variety of business documents that demonstrate command of language, clarity of thought, and orderliness of presentation.
- Problem Solving — knowledge of approaches, tools, and techniques for recognizing, anticipating, and resolving organizational, operational, or process problems.

Required Experience

- 1–2 years of experience supporting procurement and/or asset lifecycle management.

Important Notes

- This role requires a T4 employment arrangement only.
- Interviews are conducted via Microsoft Teams, approximately 30 minutes, with the Hiring Manager; a second team member may join. One round of interviews.
- Available to start as soon as possible.
