About the Role
AVS Legal is seeking an experienced Legal Bookkeeper to provide accurate, reliable, and confidential bookkeeping and financial support to a network of lawyers.
This role is responsible for the day-to-day management of legal bookkeeping, including trust accounting, reconciliations, accounts payable and receivable, billing, payroll, GST, and financial reporting. The Legal Bookkeeper will also support compliance requirements and work closely with external accountants on year-end reporting and trust audits.
The ideal candidate has hands-on legal bookkeeping and trust accounting experience, strong attention to detail, and the ability to manage multiple priorities independently in a remote environment. This role requires sound judgment, discretion, responsiveness, and a high level of accuracy when handling confidential financial information and client funds.
KEY RESPONSIBILITIES
Trust Accounting & Compliance
- Maintain client trust accounts in accordance with applicable Law Society Rules.
- Process trust deposits, retainers, and transfers from trust to general accounts.
- Prepare monthly trust bank reconciliations and required compliance reports.
- Support external accountants with trust audits and related documentation.
Bookkeeping & Financial Management
- Record receipts, client payments, retainers, disbursements, and expenses in the legal management system.
- Manage accounts payable, vendor payments, accounts receivable, and billing.
- Reconcile operating and credit card accounts monthly.
- Prepare monthly, quarterly, and year-end financial statements.
- Prepare and submit GST remittances.
Payroll & Records Management
- Process payroll, manage deductions,
and remit required payroll taxes.
- Maintain accurate and organized digital financial records.
- Assist external accountants with year-end financial reporting and tax returns.
QUALIFICATIONS & SKILLS
- Bookkeeping diploma or equivalent education and experience.
- Minimum 2 years of full-cycle bookkeeping experience within the legal industry.
- Hands-on experience with legal trust accounting is required.
- Working knowledge of applicable Law Society trust accounting requirements.
- Experience managing confidential financial information and multiple lawyer or client files.
- Proficiency in Microsoft Office and bookkeeping software.
- Strong analytical, organizational, and problem-solving skills.
- Exceptional attention to detail and accuracy.
- Excellent verbal and written communication skills.
- Ability to manage competing priorities, meet deadlines, and exercise sound judgment.
- Ability to work independently and collaboratively in a remote environment.
- Experience with the following software is considered an asset but is not required:
- Legal Practice Management: Clio, Cosmolex, LEAP, PCLaw
- Accounting Software: QuickBooks Online, Cosmolex, Actionstep Legal Account/Soluno
