Your opportunity The Centre for Criminology & Sociolegal Studies (CrimSL) is a research and teaching unit whose faculty and students study crime, order and security from a variety of disciplinary perspectives and theoretical approaches.
We offer an undergraduate program as well as graduate programs for master’s and doctoral students, providing a solid foundation for understanding aspects of crime, justice and the processes of social order and disorder. With various backgrounds in sociology, history, law, psychology, philosophy and political science, our faculty are engaged in Canadian and international criminological research.
Reporting to the Centre Manager, the Undergraduate and Graduate Assistant will be the first point of contacts for students, faculty and visitors to the Centre. The incumbent will be responding to enquiries within the defined scope or redirecting them to other team members at the Centre. They will also be supporting the recruitment process and for Teaching Assistants and Course Instructors (CUPE 3902 Unit 1, supporting additional administrative support to the Centre's Undergraduate and Graduate Offices, as well as general office and event assistance to the Centre.
Key duties will include providing administrative support for departmental Teaching Assistant recruitment and assignments, providing detailed information on academic program inquires, updating and maintaining information on digital platforms, checking the completeness of applications, and other administrative duties, as assigned.
Your responsibilities will include
Acting as the first point of contact for general enquiries
Responding to enquiries within the defined scope of the role and redirecting as appropriate
Coordinating the recruitment and training process for teaching assistants
Interpreting guidelines to determine the eligibility of graduate students for teaching assistantships
Providing detailed information on program and/or course eligibility requirements, procedures, policies and deadlines.
Receiving and passing on evaluation materials for review
Maintaining information on digital platforms
Checking completeness of applications
Preparing draft employment letters using templates
Collating and organizing data for various reports
Confirming roombookings
Organizing materials for workshops, conferences and/or events
Determining logistical details and activities for events and/or programming
Arranging catering
Booking audio-visual and/or computer equipment
Essential Qualifications
Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
Minimum two years recent and related administrative experience providing administrative support for an academic program, with some experience coordinating academic recruitment and training
Experience with supporting the recruitment process and preparing drafting correspondence, documents,
and/or employment letters using templates
Experience providing administrative support for undergraduate and/or graduate programs
Experience interpreting and applying policies, procedures, and/or collective agreements
Advanced skills in Microsoft 365 (Excel, Word, Outlook, Teams, SharePoint and OneDrive)
Experience navigating and entering data in HRIS and ROSI, or similar HR and student information systems
Excellent interpersonal and communication skills (verbal and written)
Excellent time management, prioritization, and organizational skills, with the ability to be an effective team player
Attention to detail, especially when working with high volumes and competing priorities
Ability to exercise initiative and judgment,organize work and establish priorities in a flexible way, and successfully meet deadlines with competing priorities and interruptions
Assets (Nonessential)
Familiarity interpreting and applying policies of the CUPE 3902 (Unit 1) collective agreement would be an asset
Experience using the Faculty of Arts and Science TAShip portal is an asset.

Pay Scale Group & Hiring Zone: USW Pay Band 08 -- $66,522 with an annual step progression to a maximum of $85,069. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
