Oceanfreight Coordinator – Freight Forwarding (Senior)

Location: Pointe-Claire, QC (West Island) | Hybrid (3 days in office, 2 days from home)

Inner Circle Agency is hiring a Senior Oceanfreight Coordinator for a well-established freight forwarding company on the West Island. This is a role for an experienced ocean freight professional who can own import and export files from origin to destination, keep carriers, agents and customers moving in sync, and bring a sharp, service-first approach to a fast-paced operation.

What You’ll Be Doing

- Coordinate all FCL/LCL import and export ocean freight activities, plus related trucking, from origin to destination.

- Keep daily communication and close follow-up with overseas agents, steamship lines, truckers, vendors, warehouses, customs brokers, CBSA and Port Authorities.

- Open, track, trace and update files in CargoWise.

- Negotiate rates with carriers and provide competitive quotes to customers.

- Prepare and obtain all required documentation (SWB, CERS, Commercial Invoices, Packing Lists, Manifests, E-Manifests, SDS/DG docs).

- Arrange pick-ups and deliveries with shippers, consignees and truckers.

- File and forward E-Manifests and coordinate customs releases with brokers and carriers.

- Handle each quote and file to completion, rating both cost and sell,



and keeping documentation in order.

- Verify OBL and payment requirements before releasing shipments for delivery.

- Complete invoicing, collect PODs, close files and bill customers.

- Maintain client profiles and SOPs, and manage client POs.

- Work closely with the sales team on quotes, client relationships and new business.

What We’re Looking For

- Minimum 5 years of experience in freight forwarding or logistics (or relevant education/certification).

- Solid knowledge of ocean freight import/export rules and regulations.

- Bilingual (French & English), written and spoken.

- Strong proficiency in MS Office (Outlook, Word, Excel, Teams).

- Experience with CargoWise (an asset).

- CIFFA & DGR certification (an asset).
