JOB DESCRIPTION – SEPTEMBER 2026

FINANCE LEAD

Position Overview The Finance Lead plays a crucial role in supporting the organization’s success through strong financial management. They are responsible for ensuring the non-profit’s financial transactions and policies meet government regulations and standards. To be compliant and maintain transparency, they must document every transaction and follow established receipt, auditing, and other financial procedures that are crucial to the ongoing acknowledgment of the charitable status. They work well in quick-paced environments, have excellent analytical, problem-solving, and communication skills. This position reports to the Executive Director and has no direct reports.

Duties and responsibilities

Manage and maintain accounting books/records

Reconcile bank accounts weekly and at month end

Coordinate and account for all income streams to operations and designated accounts

Donations to Hope House including cash, cheque, online and pre-authorized giving (PAG) roughly 3500 transactions per year

Management of PAG donors

Monitor and manage cash flow

Transfer funds between bank accounts as required

Process all payable invoices and issue payments weekly - cheques and electronic

Prepare all credit card reconciliations and cheque requisitions for approval by the Executive Director with the support of staff

Invoice and follow up to ensure payments of invoices from sponsors or businesses that have commitments to make payments as directed by the Community Engagement Manager or other staff

Complete data entry for all physical and electronic charitable donations in Keela

Manage and submit HST rebates

Payroll

Managing payroll (15-20 employees) through Dayforce/Powerpay

Prepare weekly payroll,



submit for approval and post in Quickbooks

Add new staff to Powerpay, process salary changes/relevant deductions, process ROE’s

Enroll employees in Group Benefit and RRSP plans

Act as the Hope House Benefits Administrator ensuring that employees receive their enrolment information, enrolment information is loaded into the Benefit portal and amendments to employees’ profiles are completed (e.g. leave of absence, salary changes and employment status changes).

Ensure WSIB quarterly remittance and Group RRSP remittance monthly

Financial Analysis, Reporting, and Audit

Support preparation of annual budget for approval by the Board

Provide financial analysis and prepare reports for the Executive Director, staff, and Board, supporting effective stewardship of organizational funds.

Coordinate year-end audit; participate in the annual auditing process by ensuring the auditor has access to all required documentation.

Fundraising and Grant Management Support

Support Community Engagement Manager in communications to donors surrounding their donations and charitable receipts

Support preparation of grant proposal budgets and financial reports

Other duties

Uphold a strict level of confidentiality

Other duties as assigned

Qualifications

Completion of a college program in accounting, bookkeeping or a related field or completion of two years (first level)



of a recognized professional accounting program (e.g., Chartered Accounting, Certified General Accounting) or courses in accounting or bookkeeping combined with several years of experience as a financial or accounting clerk are required.

Strong written and verbal communication skills

Strong computer skills including Google Suite, Microsoft Office and Quickbooks

Commitment to the vision, mission and core values of Hope House

A valid vulnerable sector criminal record check will be required by the successful candidate

Working knowledge of poverty (i.e. generational, situational, working poor)

Compensation and Details

Hours: Average 19 hrs/week, part time permanent position

Days of work to occur between Monday to Friday

Start Date: November 1, 2026

Salary Range $25-30/hour

This position is a remote or hybrid role. Office located at 10 Cork Street East, Guelph ON N1H 2W8
