Le Livart is an art centre located in a former rectory in the Plateau-Mont-Royal neighbourhood. It brings together a gallery, artists’ studios, an art school, an event space, a shop and various spaces for creating and gathering.

All of the centre’s activities are guided by a commitment to making art and culture more accessible. A place for creating, gathering and connecting, Le Livart is a vibrant space that brings together artists, families, businesses, organizations and the general public.

Le Livart rents several of its spaces to individuals, professionals, organizations and businesses. Its rooftop terrace, courtyard, gallery and event space host a wide variety of events, including weddings, corporate events, launches, film shoots, concerts, happy hours, meetings, workshops and private events.

The position

Reporting to the Executive Director, the Venue Rentals Manager oversees the entire rental process, from the initial inquiry through the event itself and subsequent client follow-up.

They play a key role in developing Le Livart’s earned revenue by providing excellent customer service, increasing sales and helping maximize occupancy across its various spaces.

The position combines sales, customer service, event coordination, administrative duties and on-site work.

Main responsibilities

Sales and inquiry management

- Manage and process rental requests.
- Respond to inquiries received by email, phone and through various platforms.
- Understand clients’ needs and recommend the most suitable spaces and packages.
- Conduct the necessary follow-ups to convert inquiries into bookings.
- Give clients tours of the spaces and provide personalized guidance.
- Prepare quotes and negotiate rental packages in accordance with established guidelines.
- Maintain and develop client relationships, including post-event follow-ups.

Planning and administration

- Manage and keep the venue rental calendar up to date.




- Schedule venue tours, appointments and bookings.
- Draft rental agreements and oversee their signing and administrative follow-up.
- Prepare and send estimates directly through QuickBooks.
- Issue rental invoices in QuickBooks and follow up on payments.
- Make the necessary adjustments to estimates and invoices as each booking progresses.
- Keep the client database and records up to date.
- Manage and develop the various venue management and rental platforms.

Event coordination and logistics

- Answer clients’ questions, address their needs, and assist them in organizing and planning their event.
- Ensure that information is communicated between clients and the various Le Livart teams.
- Plan the logistical requirements for events.
- Ensure that the spaces are ready, functional and welcoming for rentals.
- Coordinate event setup and teardown requirements.
- Coordinate janitorial, maintenance and security requirements.
- Help maintain the quality, orderliness and overall appearance of the spaces.
- Anticipate operational challenges and help resolve unexpected issues.
- Actively contribute to increasing sales and maximizing venue occupancy.
- Identify new client segments and rental opportunities.
- Develop and enhance rental packages and service offerings.
- Optimize sales and workflow materials, including presentation documents, technical sheets, email templates and sales proposals.
- Analyze activity data and recommend improvements.
- Identify slower periods and recommend strategies to increase bookings.

Marketing and visibility





- Increase the visibility of the rental spaces in collaboration with the communications team and Executive Director.
- Identify and develop specialized platforms, partnerships, business tourism networks and other promotional opportunities.
- Stay informed about trends and new tools related to events, sales and venue management.

Profile required

Are you organized, outgoing, independent and equally comfortable interacting with clients and working on site?

- Relevant experience in venue rentals, sales, customer service or event logistics.
- Experience in the events industry.
- Excellent command of spoken and written French.
- Good command of English to serve English-speaking clients.
- Excellent customer service and interpersonal skills.
- Strong listening, negotiation and problem‑solving skills.
- Strong organizational skills, attention to detail and excellent priority management.
- Independence, initiative and the ability to manage several projects simultaneously.
- Comfortable handling a wide variety of tasks and the unexpected challenges of the events industry.
- Proficiency with digital tools and Google Workspace.
- Comfort using artificial intelligence tools such as ChatGPT or Claude to support writing, organization and day-to-day efficiency is an asset.
- Knowledge of digital marketing and search engine optimization is an asset.
- Interest in the cultural, creative and events sectors.

Conditions of employment

- Full time position, 35 hours per week.
- Schedule primarily from Tuesday to Saturday.
- Working hours may vary between 10 a.m. and 6 p.m. or between 1 p.m. and 9 p.m., depending on programming and events.
- Work is primarily on site at Le Livart in the Plateau-Mont-Royal neighbourhood.
- Salary to be negotiated based on experience, with sales commissions.
