About the Role

The Reservations Coordinatoris the first point of contactfor guests and plays a key role in creating a positive experience from theinitial inquiry through to booking. This position responds to guest inquiries,recommends appropriate accommodations, activities, and services, and convertsopportunities into confirmed reservations. Success in the role requires strongcustomer service and communication skills, confidence working with reservationand CRM systems, attention to detail, and a natural ability to support bothguest experience and sales goals.

Key Responsibilities

- Convert guest inquiries into confirmedreservations by understanding guest needs, recommending appropriateexperiences, and clearly communicating the value of Nootka Marine Adventures.
- Create and manage reservations foraccommodations, moorage, camping, guided fishing, rental boats, and otherservices.
- Respond to guest inquiries by phone and email ina professional, timely, and accurate manner.
- Support sales initiatives by promoting NootkaMarine Adventures, participating in sales campaigns, and completing outboundcalls as required.
- Accurately record and maintain guest information,leads, quotes, follow-up activities, and booking notes in Monday.com CRM andother applicable systems.
- Process deposits, payments, booking changes,



andcancellations accurately and in accordance with company policies andprocedures.
- Complete daily settlement and reconciliationreports, identify discrepancies, and escalation issues as required.
- Maintain accurate records while protecting guestconfidentiality and adhering to company brand and service standards.
- Collaborate with the Reservations, Sales, andMarketing teams to support shared guest service and revenue goals.

Qualifications

Required:

- Minimum twoyears of experience in customer service, reservations, hospitality, tourism, orsales.
- Availability towork a versatile schedule, including weekends as required.
- Strong customerservice orientation with a genuine commitment to creating a positive guestexperience.
- Comfortablelearning and working across reservation systems, CRM platforms, MicrosoftOffice, email, and other digital tools.
- Strongorganizational skills with the ability to work independently, prioritize tasks,and manage competing demands.
- Strong verbaland written communication skills.
- Ability toremain organized, accurate, and professional in a fast-paced environment.
- Positiveattitude, strong attention to detail, and a solution-focused approach.
- Interest infishing, marine recreation, and outdoor tourism; previous fishing knowledge orexperience is considered an asset.
