Position Summary
Reporting to the Project Manager, in the Division of Applied Research, the Project Coordinator plays a key role in managing applied research projects and enhancing student work experiences across Red Deer Polytechnic’s research pillars.
This role involves coordinating project planning, communication, timelines, and reporting, while keeping sponsors and stakeholders informed of progress. In addition, the Project Coordinator is responsible for building and maintaining strong relationships with internal and external partners, assists in distribution of program resources, logistics, and helping ensure budget adherence and compliance with institutional policies and risk management protocols.
The Project Coordinator will display a high degree of initiative and the ability to work independently and collaboratively to achieve high-end results. This individual utilizes analytical skills, flexibility, and creativity to support decision-making in serving the strategic and operational objectives for all projects within Applied Research. The Project Coordinator will play a critical role in ensuring project success.
Position Responsibilities
Project Management
Assists the Project Manager with the coordination and delivery of projects and strategic initiatives by providing project administration and project coordination support.
Supports project design, planning, implementation, completion, and assessment activities under the direction of the Project Manager.
Monitors project milestones and timelines and reports progress, risks, and delays to the Project Manager/ Principal Investigator (PI).
Identifies issues, gathers information, and assists in developing solutions and recommendations to support project progression.
Supports committees, task groups, faculty, staff, and project teams to facilitate collaboration and project success.
Assists with communication and coordination between internal and external stakeholders and project team members to support project objectives and deliverables.
Provides information and guidance to external parties and partners regarding applicable RDP processes and practices, as directed.
Coordinates with internal departments, such as Marketing & Communications, Work Integrated Learning, and Schools, to support project initiatives.
Maintain project documentation, including project plans, schedules, status updates, critical path tracking, proposals, business cases, project deliverables, agenda packages, and meeting minutes.
Translate meeting action items and updates the Project management tool.
Assists in preparing project completion summaries and presentations for project sponsors and department leaders.
Coordinates meeting logistics, including scheduling,
room bookings, catering, materials, and virtual meeting arrangements.
Document project management processes as direct by the project manager
Assisting project manager creating project management templates
Metrics Collection
Metrics collection including tracking events, grant reporting preparation and capturing project deliverables, and supporting material tracking to projects.
Working with the Applied Research Team support event planning and delivery: room booking, invites, AV, food, advertising, attendance lists, media release signage, media communications in collaboration with RDP Marketing and Communication department.
Tracking knowledge mobilization includes conferences and publications ensuring grant requirements are met.
Validate metrics in the project management software, identify data entry errors, and collaborate with the appropriate individuals to ensure timely correction and data accuracy.
Support project reporting.
Human Resources Coordination
Maintains confidentiality of personal information in accordance with Polytechnic policies, standard practices, and the Freedom of Information and Protection of Privacy Act.
Oversees the coordination of the onboarding and exit procedures to ensure the appropriate collection and tracking of information
Training for consistent data entry into Project management software.
Training staff on Project Management templates within Applied Research
Required Qualifications
Two (2) years of post-secondary training, completion of a community college certificate including trades apprenticeships or equivalent ideally in Project Management, Business Administration, Communications/Public Relations
Minimum of 2-3 years of relevant experience
Project management experience is required
Ability support change; a proactive, collaborative, results-oriented style
Ability to work in a dynamic, ever-changing, fast-paced environment with multiple demands, competing priorities and numerous deadlines
Ability to use and interpret complex data to accurately advise and inform decision makers
Strong analytical skills, ability to think outside the box, and apply creative solutions to issues presented
Able to advance multiple operational initiatives and decision points within established timeframes and budgets
Excellent interpersonal,
relationship building, and conflict resolution skills
Ability to exercise good judgement and discretion, and maintain confidentiality
Effective organizational, time management, and planning skills
Excellent oral, written, and technical skills
Proven ability to assist with managing priorities, be self-directed, and work with minimal supervision
Knowledge and awareness of the operation of a post-secondary institution is preferred
Preferred Qualifications
Four (4) year undergraduate degree, or three (3) year undergraduate degree plus one full additional year of university in a related program representing four years of study or equivalent ideally in Project Management, Business Administration, Communications/Public Relations
Experience working in a post-secondary educational institution would be an asset
Benefits and Compensation Information
An additional 15% of the hourly rate in lieu of vacation, statutory holidays and benefits.
