Job Summary
Reporting to the Clerk, the Clerk Assistant provides administrative, legislative and customer service support to the Clerk’s Department. This position assists with Council, Committee and Board meeting preparation, records management, public notices, licensing, election administration, correspondence, research, and general departmental coordination. The role is intended to support the statutory responsibilities of the Clerk and does not independently exercise the statutory authority of the Clerk or Deputy Clerk. Work involves frequent interaction with members of the public, Council, municipal departments, other municipalities, and external agencies, while maintaining a high level of confidentiality, accuracy, professionalism, and discretion.

Minimum Qualifications

Successful completion of a post-secondary diploma or certificate in Business Administration, Office Administration, Public Administration, Municipal Administration, or a related field, or an equivalent combination of education and experience. A minimum of three (3) years’ experience in an office environment.

Knowledge of municipal operations, local government procedures, municipal protocols and related legislation, including the Municipal Act,



Municipal Freedom of Information and Protection of Privacy Act (MFIPPA), Municipal Elections Act and other applicable legislation, would be considered an asset.

Completion of the Association of Municipal Managers, Clerks and Treasurers of Ontario
(AMCTO) Municipal Administration Program (MAP) or greater would be an asset but not
required.

Knowledge of the TOMRMS filing system or similar filing system would be an asset but not
required.

Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint) and iCompass.

Proficiency in both English and French.

Ability to obtain a clear criminal record check.

Clean Driver’s abstract.

Requirements & Responsibilities

Ability to deal with the public in an effective and courteous manner.

Ability to work under pressure, while maintaining a high level of accuracy and attention to
detail.

Ability to work independently on complex tasks and compose effective and accurate
correspondence.
