Senior Site Administrative Assistant
The Senior Site Administrative Assistant is a key member of the Site Administration team, providing comprehensive administrative support to Construction Operations and the Site Administration Manager. While reporting directly to the Site Administration Manager for day-to-day activities, this position also collaborates closely with a broader administration team to support site and project objectives.
This role is best suited for an experienced administrative skilled who can quickly assume responsibilities and contribute with minimal supervision. Training will be provided on company-specific processes and procedures; however, the successful candidate is expected to possess strong administrative, organizational, and technical skills, allowing them to effectively support project teams with limited onboarding.
Previous experience supporting large-scale construction, industrial, engineering, or project-based environments is strongly preferred. Candidates with demonstrated project administration experience, including supporting project teams, managing documentation, coordinating meetings, maintaining databases, and producing reports, will be highly regarded.
This role is responsible for delivering a wide range of administrative functions that support Construction Operations while maintaining a high degree of accuracy, professionalism, confidentiality, and initiative.
This is a 5x2 (Monday-Friday) position with bussing into the project site provided. There is the potential for overtime.
Minimum Qualifications
- Minimum 5+ years of progressive administrative experience, preferably in a construction, engineering, industrial, or project-based environment.
- Demonstrated experience supporting project teams and managing multiple priorities in a fast-paced work environment.
- Proven ability to work independently, exercise sound judgment, and effectively manage responsibilities with minimal supervision.
- Strong analytical skills with the ability to compile, review, manipulate, and present data in a meaningful format.
Preferred Knowledge, Skills and Abilities
- Previous project administration experience supporting a large, active construction, industrial, or engineering project is strongly preferred.
- Experience coordinating project documentation, project controls activities, reporting, and stakeholder communications.
- Proven ability to quickly learn new systems and processes and become productive with limited training.
- Demonstrated continuous improvement mindset with the ability to identify efficiencies and implement administrative best practices.
- Advanced Microsoft Excel skills, including Pivot Tables, VLOOKUP/XLOOKUP, charts, reporting dashboards, and data analysis.
