Accounting Assistant
We are seeking an organized, detail-oriented, and dependable Accounting Assistant to join our financial operations team.
This position is currently scheduled as part-time, three days per week, with a strong likelihood of transitioning to full-time as our organization continues to grow.
The Accounting Assistant will be responsible for supporting day-to-day accounting operations, maintaining accurate financial records, processing accounts payable and accounts receivable transactions, and providing administrative and clerical support to the finance department.
Key Responsibilities
- Data Entry: Accurately enter daily financial transactions, vendor invoices, customer receipts, and other accounting information into the appropriate accounting platforms.
- Accounts Payable (AP): Review, verify, and process vendor invoices and employee expense reports, including digital payment distribution through RBC PayEdge.
- Accounts Receivable (AR): Prepare and issue client invoices, record incoming payments, monitor outstanding balances, and follow up on overdue accounts as required.
- Bank Reconciliation: Regularly reconcile bank and credit card statements with internal ledger accounts, investigate discrepancies, and ensure records are accurate and complete.
- Filing & Documentation: Maintain a secure, organized, and easily accessible cloud-based filing system for financial records, tax documentation, and audit trails using Dropbox and Google Drive.
- Accounting Support: Assist the finance team with financial reporting, spreadsheet maintenance, data analysis, and other accounting-related administrative duties using Google Sheets and Microsoft Excel.
Qualifications & Skills
- Experience: 3–5 years of dedicated experience in bookkeeping, accounting administration, or an accounting clerk role.
- Education: Diploma or degree in Accounting, Finance, Business Administration, or a related field is preferred but not required.
- Required Software Experience: Advanced proficiency and hands-on experience with: Experience with the above software is strictly required.

- Google Workspace / Google Apps
- Preferred Software Experience: Previous experience with MySeniors, Ceridian, or ADP is considered a strong asset.
- Attention to Detail: Demonstrated ability to maintain a high level of accuracy in financial data entry and identify and resolve discrepancies.
- Communication Skills: Excellent written and verbal English communication skills are required for professional communication with clients, vendors, and internal departments.
- Organization: Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.
- Confidentiality: Ability to handle sensitive financial and organizational information with discretion and professionalism.
Technology Requirements
- Personal Device: A personal mobile device, such as a cell phone,
smartphone, or tablet (iPad or similar), is required for this position.
- The personal device will be used to access and utilize various work-related applications and communication tools required for the role, including the organization's VoIP (Voice over Internet Protocol) phone system.
- Candidates must be comfortable using mobile applications and maintaining reliable access to their personal device during scheduled working hours.

- Compensation: $25.00–$35.00 per hour, commensurate with experience
