Administrative Coordinator, International Standards Development

6 Month Contract- Potential for Extension

Salary: $25- $30

Ottawa- HYBRID (1 DAY IN OFFICE)

Your New Role

- The Administrative Coordinator, ISD provides administrative and operational support to Standards Mirror Committees and helps facilitate Canada's participation in the international standards development process. Working closely with Canadian committee members, the Coordinator delivers day-to-day administrative support, coordinates meetings and communications, maintains records and documentation, and serves as a liaison with international standards organizations and other stakeholders on behalf of the client.

What You Need to Do

- Collected, maintained, and analyzed data to support information distribution, tracking, reporting, and decision-making processes
- Prepared, proofread, and edited correspondence, reports, presentations, and other business documents, ensuring accuracy and professionalism.
- Provided comprehensive administrative support, including scheduling meetings, coordinating travel arrangements, processing expense claims, and maintaining electronic and physical filing systems.
- Utilized Microsoft Office applications, including Word, Excel, PowerPoint, Access, Outlook, and Adobe Acrobat, as well as various electronic collaboration and database management tools.
- Communicated effectively with internal and external stakeholders, responded to inquiries, and delivered updates on administrative processes and record management practices.
- Coordinated committee and stakeholder communications, distributed voting and consultation materials,



and maintained online collaboration platforms and records.
- Tracked committee assignments, memberships, travel activities, and program-related information while ensuring data accuracy and compliance with organizational policies.
- Managed travel administration activities, including preparing travel documentation, maintaining travel and financial assistance databases, issuing travel correspondence, and reviewing expense claims.
- Supported the planning and execution of meetings, conferences, and virtual events through logistics coordination, registration management, participant communications, and meeting material preparation.
- Prepared reports and summaries for senior leadership to support strategic objectives, operational performance, and informed decision-making.
- Maintained stakeholder records, user accounts, and membership databases, ensuring information remained current, accurate, and complete.
- Processed applications, managed documentation, and provided administrative and secretariat support to committees, working groups, and cross-functional teams.
- Contributed to quality management and continuous improvement initiatives by maintaining documentation, identifying process improvements, and supporting operational efficiency.





What You'll Need to Succeed:

- Eligible to obtain and maintain a Reliability Security Clearance.
- Fluent in both official languages, with the ability to communicate effectively in English and French in a professional environment (Bilingual Imperative IISS).
- Completed a university degree in Public Administration, Business Administration, or a related discipline.
- Combined formal education with relevant professional experience and training in administrative, operational, and program support functions.
- Demonstrated knowledge of public sector administration principles, business operations, and organizational procedures.
- Solid foundation in administrative coordination, stakeholder support, records management, and process administration gained through a combination of education, experience, and training.
