About Gasonic
Gasonic Group Ltd. is a Calgary-based company with approximately 40 years of experience specializing in indoor air quality and gas detection services. We supply, inspect, calibrate, service and replace gas detection equipment, with a focus on parking facilities and commercial buildings.
We are a small, established company looking for an Administrative & Service Coordinator to help keep our office and field service operations organized and running smoothly.
The Opportunity
This is a varied position working closely with management and our field technicians. The successful candidate will coordinate service appointments, maintain records, assist with invoicing and accounts receivable, and support day-to-day office operations.
As you learn the business, there will be opportunities to take on additional responsibility and help grow our service operations.
Key Responsibilities
· Schedule technicians and customer appointments
· Maintain service schedules and customer/building records
· Track upcoming and overdue service
· Prepare service reports and calibration certificates
· Follow up on outstanding technician paperwork
· Identify opportunities to add buildings to our service program and follow up with potential and existing customers
· Help increase the number of buildings under Gasonic’ s ongoing service program
· Assist with scheduling and routing improvements
Office Administration
· Answer phones and respond to emails and customer inquiries
· Maintain electronic and paper records
· Process mail, cheques and office documents
· Prepare correspondence and assist with office projects
Invoicing & Accounts Receivable
· Prepare and issue customer invoices
· Review completed service work to ensure it has been invoiced
· Assist with accounts receivable follow-up
· Maintain records in QuickBooks
What We're Looking For
Administrative, office coordination or customer service experience
Strong organizational and time-management skills
Excellent attention to detail
Good written and verbal communication
Strong computer skills and ability to learn new software
Microsoft Office experience; QuickBooks is an asset
Ability to manage multiple priorities and work independently
Reliable, self-motivated and willing to learn
Recent graduates with relevant education and strong organizational and computer skills are encouraged to apply.

We're looking for someone who sees what needs to be done and takes care of it.
Because we are a small company, you must be comfortable working independently, taking initiative and using quieter periods productively to organize records, follow up on outstanding items and improve office processes.
You don't need to know the gas detection industry—we will teach you the technical side of our business.
