CHEO RI has an immediate requirement for a Clinical Research Coordinator.
The Epilepsy Research Unit team consists of pediatric neurologists who have additional expertise in epilepsy and neurophysiology.
The research unit’s agenda is designed to address key areas of pediatric epilepsy through three main pillars: a focus on innovative treatments, advanced diagnosis, and better understanding and managing the comorbidities and psychosocial impacts of epilepsy.
Ultimately, our research unit’s goal is to foster innovative, high‑impact research that not only advances our scientific understanding of pediatric epilepsy but also leads to better treatments, improved patient outcomes, and enhanced quality of life for children, youth, and their families.
The Research Coordinator will oversee diverse clinical research projects in line with the goals of the Epilepsy Research Unit.
The individual will be responsible for coordinating regulated clinical trials of cutting‑edge therapies (project scheduling, REB submissions and renewals, database management, data entry, patient visit scheduling, invoicing).
The successful candidate will also lead multiple studies, including data collection and management, proposal development and submission, budget monitoring, systematic review screening and extraction, and supervision of medical students.
MAIN RESPONSIBILITIES
Under the general supervision of the The Epilepsy Research Unit (lead Dr.
Katherine
Muir), the Research Coordinator will:
Liaise with research team staff, clinicians, patients, families and clinical collaborators
Ensure efficient day‑to‑day operation of research data collection protocols and data analysis activities
Prepare submissions to the REB including consent/assent form and research protocols development
Be responsible for patient recruitment, including screening and obtaining informed consent/assent
Be responsible for administering standardized clinical assessments
Be responsible for the collection and scoring of research information in REDCap
Track patient progress and coordinate follow‑ups
Ensure data entry of all measures and surveys are done in a timely manner, as well as quality control
Monitor budget and invoice for study‑related expenses
Negotiate study budgets and prepare contract submissions
Assist with grants, report writing, preparing presentations, posters and publications
Notify affiliated physicians of any clinical therapy or study protocol concerns
Organize and facilitate meetings associated with research activities
Perform other duties as assigned or directed to meet the goals and objectives of the research team
Execution of clinical research studies and programs
Collect, process, and assist in the compilation and verification of research data, samples, and/or specimens (following strict protocol and detailed instructions)
Enter data forms and documents into databases and other systems (eCRF)
Assist with routine data verification and quality control, ensuring data integrity and consistency with study protocol
Provide overall administrative assistance to the research team
Act as key communicator between study personnel, subjects, stakeholders, and CROs
Invoicing for study‑related expenses
QUALIFICATIONS, SKILL AND ABILITIES
Degree in health‑related field, master’s degree or equivalent work experience (Essential)
Minimum 2 years experience in clinical research (Essential)
GCP, ICH, Health Canada Division 5 certifications (Essential)
Understanding of research design, guidelines and standards governing clinical research (Essential)
Understanding of the Personal Health Information Protection Act (Essential)
Excellent computer skills, including advanced knowledge of research related software (Excel, PowerPoint, Outlook, literature search engines, Reference Manager or equivalent) (Essential)
Knowledge and practice of statistical software, including SPSS and REDCap (Essential)
Experience in report writing, publication and communication briefs (Essential)
Outstanding organizational, accountability and time management skills (Essential)
Ability to work independently with minimal supervision and think critically (Essential)
Ability to work effectively in a multidisciplinary team environment (Essential)
Excellent written and verbal communication skills (Essential)
Excellent inter‑personnel skills (Essential)
Minimum 2 years of research experience working on regulated clinical trials (Preferred)
Bilingualism (English/French) (Preferred)

Clinic setting work within hospital; exposure to children and parents and/or caregivers. Able to be flexible with working hours to meet deadlines. OTHER REQUIREMENTS
Eligible to work in Canada; Compliance with CHEO RI’s occupational health, immunization, and health‑surveillance requirements, as applicable to the role and work environment.
Completion of a Police Record Check, in accordance with institutional and regulatory requirements.
