Human Resources Coordinator
Location: Moncton, New Brunswick

Reports To: Manager of Human Resource and Administration
Position Summary The Human Resources Coordinator supports the day-to-day delivery and administration of Human Resources services across Harvest House Atlantic. The position works closely with employees, managers, and leadership to help maintain effective HR processes, accurate employee records, positive employee relations, and a professional, respectful, and supportive workplace.
This is a hands-on HR position supporting employees working across a diverse range of programs and services. Harvest House Atlantic provides compassionate, trauma-informed support to people experiencing homelessness, substance use challenges, mental-health challenges, and other barriers. Its services include emergency shelter, frontline/community services, food services, addiction recovery, and supportive housing.
The HR Coordinator serves as an important point of contact for employees throughout the employment lifecycle, from recruitment and onboarding through employee changes and eventual offboarding. The role requires confidentiality, professionalism, organization, compassion, sound judgment, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
1. Recruitment and Selection
- Coordinate recruitment activities for vacant and newly created positions.
- Prepare and post job advertisements on appropriate recruitment platforms.
- Maintain accurate and up-to-date job descriptions.
- Review applications and conduct initial candidate screening as assigned.
- Coordinate interviews between candidates and hiring managers.
- Prepare interview packages, interview questions, rating sheets, and other recruitment documentation.
- Communicate professionally with applicants throughout the recruitment process.
- Conduct or coordinate reference checks and pre-employment requirements.
- Prepare employment offers, employment agreements, and other hiring documentation.
- Maintain recruitment files and candidate records.
- Track vacancies, applicants, interviews, offers, and hiring outcomes.
- Support hiring managers in following consistent, fair, and professional recruitment practices.
- Participate in recruitment initiatives, job fairs, community partnerships, and other talent-acquisition activities when required.
2. Employee Onboarding and Orientation
- Coordinate the onboarding process for new employees.
- Prepare new-hire documentation and employee personnel files.
- Ensure required employment forms and supporting documents are completed.
- Coordinate new employee orientation with managers and relevant departments.
- Provide new employees with information regarding HR policies, procedures, benefits, attendance expectations, workplace conduct, and organizational practices.
- Coordinate required system, payroll, benefit, and administrative setup.
- Monitor probationary periods and remind managers of upcoming employee evaluations.
- Follow up with new employees and supervisors to support a positive onboarding experience.
- Maintain onboarding checklists to ensure required steps are completed consistently.
3. HR Administration and Employee Records
- Establish and maintain accurate, confidential employee personnel files.
- Maintain HR databases, employee lists, organizational records, and personnel information.
- Process employee information changes
- Prepare employment confirmation letters and other HR correspondence.
- Maintain employee emergency contact information and required documentation.
- Ensure employee records are properly organized, secured, retained, and disposed of in accordance with organizational requirements.
- Perform regular HR file audits to identify missing or outdated documentation.
4. Attendance, Vacation, Sick Leave and Overtime Administration
- Maintain and monitor employee vacation, sick leave, overtime, and other attendance records.
- Assist managers and employees with questions regarding leave balances and HR procedures.
- Monitor attendance documentation and identify missing records or discrepancies.
- Coordinate with managers to ensure attendance records are submitted accurately and on time.
- Support the administration of approved leaves of absence.
- Maintain appropriate medical and leave documentation while protecting employee confidentiality.
- Provide accurate HR information to Finance/Payroll as required.
5. Payroll and Finance Coordination
- Serve as an HR liaison with the Finance/Payroll team.
- Submit accurate employee information required for payroll processing.
- Communicate employee status, compensation, benefit, leave, and other approved changes.
- Review HR-related payroll information for accuracy when required.
- Assist in identifying and resolving employee information discrepancies.
- Maintain supporting HR documentation for payroll-related employee changes.
- Ensure employee changes are communicated to the appropriate departments in a timely manner.
6. Employee Benefits Administration
- Coordinate employee enrolment into applicable health and group benefit programs.
- Provide employees with general information regarding benefit eligibility and enrolment processes.
- Process benefit additions, changes, and terminations.
- Maintain accurate benefit records.
- Coordinate with benefits providers when required.
- Assist employees with benefit-related administrative questions and direct complex inquiries to the appropriate provider.
- Monitor eligibility dates and ensure employees are enrolled within required timelines.
- Coordinate benefit termination and continuation requirements when employment ends.
7. Employee Relations and HR Support
- Serve as an accessible first point of contact for routine employee HR questions.
- Provide employees and managers with information regarding HR policies, practices, benefits, attendance processes, and workplace expectations.
- Listen to employee concerns professionally and confidentially.
- Document workplace concerns and refer significant employee-relations matters to appropriate leadership.
- Assist with workplace investigations, meetings, and documentation when assigned.
- Support managers with coaching, performance documentation, and employee communication.
- Assist with the preparation of disciplinary documentation when directed by HR leadership.
- Encourage respectful communication and positive workplace relationships.
- Maintain appropriate boundaries and neutrality when supporting employee issues.
8. Performance Management
- Coordinate probationary and annual performance review schedules.
- Notify managers of upcoming evaluations.
- Maintain completed performance evaluations in employee files.
- Track outstanding evaluations and follow up as required.
- Support managers with performance-management documentation.
- Assist in developing performance improvement documentation when requested.
- Maintain records of employee recognition, performance concerns, coaching, and development activities as appropriate.
9.
Training and Employee Development
- Coordinate employee training and professional-development activities.
- Maintain employee training records and certificates.
- Monitor mandatory training completion and expiry dates.
- Schedule required refresher training.
- Communicate upcoming training requirements to employees and managers.
- Assist with orientation and HR-related training sessions.
- Support organizational initiatives designed to improve employee skills, leadership capacity, and service delivery.
- Identify recurring training needs based on employee or management feedback.
10. Health, Safety and Wellness
- Support workplace health, safety, and employee wellness initiatives.
- Maintain required HR-related health and safety documentation.
- Assist with documentation related to workplace incidents and employee injuries.
- Coordinate appropriate follow-up documentation after workplace incidents.
- Support employees by providing information regarding available workplace resources, medical support, time-off processes, employee assistance resources, counselling resources, or other applicable supports.
- Document when support is offered and when an employee accepts or declines available assistance, where appropriate.
- Support return-to-work and workplace accommodation processes under HR leadership.
- Work collaboratively with management and applicable safety representatives to promote a safe workplace.
- Maintain confidentiality regarding employee medical and health information.
11. Policies, Procedures and Compliance
- Assist with the development, review, implementation, and communication of HR policies and procedures.
- Support consistent application of organizational policies throughout departments.
- Help ensure HR practices align with applicable employment standards, occupational health and safety requirements, human rights obligations, privacy expectations, and organizational policies.
- Maintain current HR forms, templates, checklists, and procedures.
- Communicate policy updates to employees and managers.
- Maintain employee acknowledgements of applicable policies.
- Assist management with periodic HR compliance reviews.

Qualifications
Education
- Post-secondary education in Human Resources Management, Business Administration, Office Administration, or a related discipline.
- A combination of relevant education, HR training, and practical experience may be considered.
- CPHR designation or progress toward a professional HR designation is required
Experience
- Previous experience in Human Resources, recruitment, employee administration, payroll/benefits support, or a related role.
- Experience working in a nonprofit, social-services, healthcare, community-service, shelter, or 24/7 operational environment is considered an asset.
- Experience working with confidential employee information is strongly preferred.

Pay: $47,000.00-$55,000.00 per year
