Calgary | 6-month contract, Full time, In-person ICM Property Group is seeking a Jr.
Project
Coordinator on a six-month contract to support the growth of our Canadian development platform, which currently includes 450 residential multifamily units under construction and in predevelopment, low-density residential, industrial, and retail. The Jr.
Project
Coordinator is a foundational, hands-on role providing the administrative, accounting, and coordination support that keeps projects, records, and reporting running smoothly. The role assists with document control, budget and draw tracking, invoice and expense processing, meeting coordination, and reporting, while providing day-to-day support across the team. Reporting to the Senior Project Coordinator and supporting the Development Associate and the Director of Investments & Development on a lean team, the right candidate will make an immediate, hands-on contribution over the term of the contract.
ICM Property Developments is an AI-forward team: Claude and other AI tools are used daily across reporting, document control, research, and analysis, and this role is expected to do the same.
Term & Engagement:
- Six (6) month fixed-term contract, commencing on or about Tuesday, October 13, 2026 and concluding Tuesday, April 13, 2027.
- This is a contract position. ICM is not committing to an extension, renewal, or conversion to a permanent role beyond the contract term. Any extension would be at ICM’s sole discretion and subject to business needs at that time.
- Based in person at ICM’s Calgary head office, with travel to project sites as required.
- Applications close at 4:00 p.m. MT on Monday, September 21, 2026. Interviews will begin the week of September 21, 2026, with a target start date of mid-October 2026.
- Shortlisted candidates will be asked to walk through a specific example of how they have used AI tools in their work. Day-to-day responsibilities for the Jr.
Project Coordinator include
- Team & Project Coordination Support - Provide day-to-day administrative and coordination support to the Senior Project Coordinator, Development Associate, and Director of Investments & Developments, stepping in wherever capacity is needed.
- Help maintain project schedules, action logs, decision logs, and the development Operating Report (OR), ensuring milestones, deliverables, and follow-ups are captured and kept current.
- Track outstanding items and deadlines across the project team, proactively flagging what is coming due and chasing down responses.
- Assist with the setup and coordination of new projects, including kick-off logistics, contact lists, and directory structures.
- Support the team by preparing draft correspondence, agendas, and templates, and by handling routine follow-ups with consultants, trades, and vendors.
- Provide accounting support to the team, acting as a link between the development group and ICM’s accounting function.
- Assist with the preparation and tracking of monthly draw packages, progress payment applications, and supporting backup in YardiCM.
- Help code, log, and route vendor invoices for review and approval, and maintain accurate records of committed and incurred costs against project budgets.
- Track change orders, purchase orders, and contract commitments, ensuring approved items are reflected in budgets and draws.
- Assist with expense processing, accounts payable coordination, and reconciliation support under the direction of the Senior Project Coordinator and accounting team.
- Help maintain up-to-date project cost records so the team has near real-time financial visibility.
- Document Control & Records Management - Own the organization and maintenance of project files, ensuring consistent version control across contracts, drawings, permits, consultant submissions, and correspondence.
- Maintain and update logs for RFIs, submittals, shop drawings, insurance certificates, and other project documentation.
- Establish and uphold consistent naming conventions and filing standards across shared drives and project management systems.
- Support project close-out by compiling O&M; manuals, as-built documentation, warranties, and deficiency (punch list) records.
- Assist with the collection and organization of due diligence materials during acquisitions and early-stage feasibility work.
- Meeting, Reporting & Communication Support - Prepare meeting agendas, take accurate minutes, and distribute action items for internal and consultant meetings.
- Compile inputs for quarterly investor reporting, including construction updates, site photographs, and progress highlights.
- Assist in the preparation of internal reports, dashboards, and presentation materials for senior leadership.
- Ensure communications are clear, professional, and aligned with ICM’s standards when representing ICM Property Group in routine correspondence.
- Site & Construction Coordination Support - Attend site meetings and periodic site visits as requested, documenting and distributing meeting minutes and site observations.
- Gather construction updates, photographs, and progress information from sites to support reporting and team coordination.
- Provide field-level administrative support to the project team, helping track deficiencies, coordinate access, and follow up on outstanding items.
- Track and maintain construction documents, including RFIs, submittals, shop drawings, and change orders, ensuring logs are current and outstanding items are followed up on.
- Build a working understanding of construction sequencing, delivery methods, and the CCDC contract framework used on ICM projects.
- Development & Investment Support - Support the Development Associate with market research, data gathering, and the compilation of comparable and competitive information.
- Assist in maintaining project registers, legal holding charts, and tracking schedules for key dates and deliverables.
- Help organize inputs for underwriting, feasibility, and business plan work, ensuring supporting materials are complete and well‑organized.
- Support quarterly market and development reporting by assembling data and formatting deliverables.
- Business Mindset & Continuous Improvement - Evaluate all work through a value lens: “Does this increase project value, reduce cost, or improve ICM Property Group profit?” If not, reassess its necessity or approach.
- Look for ways to simplify recurring tasks, reduce redundancy, and improve the speed and accuracy of administrative and financial processes.
- Use Claude and other AI tools daily to automate recurring reporting, document, and data tasks, and bring forward new ways to apply them across the development platform.
- Build repeatable workflows, templates,
and prompts so improvements stay with the team rather than with one person.
- Approach every assignment with enthusiasm and a willingness to step up wherever the team needs support.
- Build skills continuously and take on recent tools, software, and responsibilities as competence grows.
- Contribute to all aspects of the project including profitability.
- Accept ownership for accomplishing new and different requests/objectives from the management team.

You have
- 1–3 years of relevant administrative, coordination, or accounting support experience; recent graduates and those early in their careers are encouraged to apply.
- A diploma or technical degree in a construction, project management, or business discipline—SAIT or a comparable technical program is preferred.
- Experience or training from a construction background, paired with a genuine interest in real estate development.
- A valid driver’s licence and access to a vehicle, with the ability to travel to site locations as needed.
- Genuine enthusiasm for the development and construction industry and a desire to build hands-on project coordination experience over a focused six-month term.
- A can-do, solutions-oriented attitude with the flexibility to support multiple team members and shifting priorities.
- Strong organization and attention to detail, with a natural instinct for accurate record keeping.
- Excellent time management skills and the ability to juggle multiple tasks and deadlines in a fast-paced environment.
- Clear, professional written and verbal communication skills.
- Exposure to or interest in accounting, budgets, and cost tracking; familiarity with YardiCM or similar systems is an asset.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and a willingness to learn new tools and software.
- Advanced computer skills and real fluency with technology — you learn new systems quickly and are the person others come to for help.
- Demonstrated competency using AI tools (Claude, ChatGPT, Copilot or similar), with specific examples of work you have automated, drafted, analyzed, or built with them.
- A strong interest in learning Claude and applying AI in a real estate development context — underwriting support, market data, document control, and reporting.
