- Manage day-to-day administrative operations and ensure the office runs efficiently.
- Respond to emails and greet visitors in a professional manner.
- Order and maintain office supplies and equipment.
- Maintain organized electronic and physical files and records.
- Prepare correspondence, reports, spreadsheets, and other business documents.
- Coordinate meetings, appointments, and office events.
- Assist with vendor communication and office-related invoices.
- Support management and employees with various administrative needs.
- Support the accounting team with various tasks as needed.
- Coordinate incoming and outgoing mail and deliveries.
- Maintain a professional, organized, and welcoming office environment.
Travel Coordination
- Book domestic and international flights, hotels, rental cars, and ground transportation.
- Coordinate complete travel itineraries for employees.
- Research travel options and identify cost-effective and convenient arrangements.
- Make changes and cancellations to travel plans as needed.
- Coordinate travel according to company policies and budgets.
- Maintain accurate travel records, confirmations, and itineraries.
- Assist with travel expense documentation and reporting.
Qualifications
- High school diploma or equivalent required; additional education or business training is a plus.
- 2+ years of office administration, executive support, travel coordination, or related experience preferred.
- Experience booking business travel is strongly preferred.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office.
- Ability to manage multiple tasks and changing priorities.
- Professional and customer-service-oriented demeanor.
- Ability to work independently and exercise good judgment.
- Robust problem-solving skills and attention to deadlines.
- Ability to handle confidential company and employee information with discretion.
