Nature of the Position
Reporting to the Director of Legal Services and Clerk or the Director of Legal Services and Registrar, the incumbent performs technical and administrative duties in support of the activities of the Legal Services and the Clerk’s Office.
The incumbent assists in processing, monitoring, and coordinating cases with legal implications, particularly those involving claims, municipal insurance, and litigation. The incumbent also performs the administrative tasks necessary for the smooth operation of the departments. In carrying out these duties, the incumbent follows established procedures and supports the professionals in the Legal Services and Court Clerk’s Office.
Working Conditions
Work Schedule: Monday–Friday; 8:30 a.m.–4:30 p.m.
Job Type : White-collar; permanent, full time
Salary: $55,350.75/year
Main Responsibilities
Management and tracking of legal files
- Ensure the opening, organization and updating of files
- Follows up on claims, insurance and dispute files
- Coordinates communications with insurers, experts, external lawyers and municipal services
- Compiles, verifies and organizes relevant documentation
- Ensures deadlines are met and does the necessary follow-ups
Support with preparing files
- Assists with preparing files for legal proceedings or settlements
- Prepares legal documents based on instructions, including formal notices, legal proceedings and correspondence
- Ensures the administrative follow-up of mandates assigned to external lawyers
- Prepares factual or administrative summaries of files
Research and technical support
- Conducts legal and documentary research in data bases
- Compiles and integrates relevant information
- Maintains the services’ reference tools and data bases up to date
Administrative support and legal secretary work
- Performs various secretarial tasks related to the activities of Legal Services
- Writes, reviews and formats administrative and legal documents
- Handles mail, emails and communications
- Ensure that the calendar and deadlines are up to date
- Organizes meetings, prepares the documentation and follows up
- Receives calls and requests for information and directs them to the appropriate individuals
- Ensures the filing, archiving and document management of files
Coordination and collaboration
- Ensures the flow of information between the municipal departments involved
- Follows up as needed with internal and external stakeholders
- May be called upon to help prepare documents or files related to city council
Other
- Performs any other related tasks associated with the job
The work is performed according to generally established methods and procedures. The person in this position carries out their duties independently, organizing their work and keeping track of the files assigned to them, while consulting their manager for any questions that require legal analysis or decision-making. She is not required to give legal advice or perform professional duties.
- EDUCATION AND EXPERIENCE REQUIRED
- College diploma in paralegal technology
- Relevant experience in a position with similar responsibilities
- Knowledge of civil and administrative procedures
- Knowledge of how a municipal environment works is an asset
- Excellent command of English, both spoken and written
- Excellent command of French, both spoken and written
- Proficient with computer tools and document management systems
- Knowledge of legal research tools
- Analytical and summary skills
- Thoroughness and attention to details
- Sense of organization and managing priorities
- Independence in managing files
- Ability to handle multiple files at the same time
- Discretion and judgement
