The Front Desk Services Coordinator supports customer service, retail sales, administrative needs and general building operations.
The position provides a welcoming and knowledgeable first point of contact for visitors, customers, artists and community members, while ensuring the Arthentic artisan shop is well presented, organized and operating efficiently. The role provides general operational support to the Arts Whistler team, including ticket sales, telephone, email and general inquiries, supply ordering, and room setups as required. This role works in collaboration with the Arthentic retail coordinator to support the day-to-day operation of Arthentic at the Maury Young Arts Centre.
This position reports to: Programs Manager | Venue Manager
Hours of work: Part-time, 24 hours per week. Hours may include weekdays, evenings and weekends based on operational and event requirements.
Compensation: $21 - $23 per hour, based on experience, plus 4% vacation pay.
Gift Shop & Retail
- Provide friendly and knowledgeable customer service to visitors and customers.
- Process retail sales, returns and exchanges using Ricochet (POS software).
- Sell tickets and assist with ticketing inquiries via Showpass (ticketing software)
- Receive, price, display and organize merchandise.
- Assist with inventory counts, updates and consignment merchandise.
- Maintain an attractive, clean and welcoming gift shop.
- Support promotions, special sales and gift shop events.
Cash, POS & Ricochet
- Complete weekly cash counts for all tills and floats and daily cash-out procedures.
- Run and interpret Ricochet end-of-day reports across tickets, merchandise, gallery, gift shop,
POS/card transactions and discounts.
- Set up and maintain products and reporting categories in Ricochet to ensure accurate sales reporting.
- Troubleshoot and resolve day-to-day Ricochet and POS issues, escalating more complex issues when required.
- Operate and assist with the setup and troubleshooting of card payment machines.
Visitor Services & Front Desk
- Respond to general inquiries in person, by telephone and email.
- Provide information about Arts Whistler programs, events, exhibitions, memberships and the gift shop.
- Welcome and assist visitors, artists, volunteers and community members.
- Direct more complex program, venue or booking inquiries to the appropriate staff member.
Building & Operations
- Monitor and order janitorial and office supplies as required.
- Manage day-to-day printer operation and coordinate service when needed.
- Opening and closing procedures.
- Assist with room setups and takedowns for events and programs.
- Report building, equipment, maintenance or safety concerns.
Teamwork & Communication
- Work collaboratively with the Arthentic Coordinator and Arts Whistler staff.
- Communicate customer, inventory, cash or operational issues promptly.
- Maintain positive and respectful relationships with customers, artists, volunteers,
consignors and colleagues.
- Attend staff meetings and support Arts Whistler programs and events as required.

- Cash-handling and retail/merchandising experience are assets.
- Experience with Ricochet, other POS systems or Showpass is an asset.
- Ability to perform the physical requirements of the role, including lifting up to 50lbs, standing and walking for extended periods.
- Availability to work a varied part-time schedule, including evenings and weekends.
