Silver Springs Medical Spa is seeking a friendly, professional, and highly organized Receptionist / Front Desk Coordinator to join our team in Downtown Vancouver.

We are looking for someone who enjoys working with people, communicates clearly, and can help create a welcoming and professional experience for every client who visits or contacts our clinic.

This role is an significant part of our day-to-day operations and involves supporting clients, practitioners, appointment scheduling, payments, and general front desk administration.

Job Responsibilities

- Greet clients in a warm, professional, and welcoming manner
- Answer incoming phone calls, emails, and client inquiries
- Schedule, confirm, reschedule, and manage appointments
- Assist clients with general information about clinic services and booking procedures
- Check clients in and out efficiently
- Process payments and provide receipts as required
- Maintain accurate client and appointment information
- Support practitioners and team members with daily clinic operations
- Help maintain an organized, clean, and professional reception area
- Respond to client messages and follow up when needed
- Assist with appointment reminders and basic administrative tasks
- Help coordinate treatment schedules and manage last-minute changes or cancellations
- Provide excellent customer service and help resolve general client concerns professionally
- Assist with retail product sales and basic product inquiries when required
- Support promotions, packages, and clinic campaigns by providing clients with accurate information
- Maintain client confidentiality and professional standards at all times

Qualifications




- Strong English communication skills are required
- Korean and/or Chinese language skills are preferred
- Previous experience in reception, customer service, hospitality, medical spa, clinic, salon, or wellness settings is preferred
- Strong interpersonal and communication skills
- Professional, friendly, and positive attitude
- Excellent organizational and multitasking abilities
- Comfortable answering phone calls and communicating with clients in person
- Comfortable using computers, email, appointment scheduling systems, and payment terminals
- Ability to manage multiple appointments and client requests in a busy workplace
- Reliable, punctual, and detail-oriented
- Able to work independently while also supporting a team
- Strong problem-solving skills and ability to remain calm and qualified
- Experience with Jane App or similar booking software is an asset
- Previous sales or retail experience is an asset

Language Requirements
- English: Required
- Korean: Preferred
- Chinese / Mandarin / Cantonese: Preferred

About the Role The ideal candidate is someone who is personable, organized, and confident communicating with a diverse range of clients. You should be comfortable working in a fast-paced medical spa and wellness environment while maintaining a professional and welcoming atmosphere.

Experience in the medical aesthetic, healthcare, wellness, spa, or beauty industry is helpful, but we are also open to candidates with strong customer service and administrative experience who are eager to learn.

Pay: $18.25-$25.36 per hour
