Watches & Fine Jewelry Operations Assistant

Location: CHANEL Yorkdale Boutique, ON

Reports to: Operations Manager

Contract: Permanent, Full-time

Your role @ Chanel:

The W&FJ; Operations Assistant performs a variety of clerical and administrative functions to assist the Operations Manager and W&FJ; Team. They partner with the Boutique Operations Team and the W&FJ; Head Office team to supervise, motivate, and ensure all boutique operational functions related to Watches and Fine Jewellery are delivered to the highest standards in order to provide an impeccable client experience.

- Maintain a strong client relationship by responding to all internal & external inquiries via telephone & email
- Work hand-in-hand with WFQ Boutique Management, WFQ Sales Specialists as an integral member of the WFQ team
- Collaboration regularly with all Fashion Team members is also key
- Support the boutique sales floor as needed, welcome clients, art of wrapping, aftersales follow up, present new collections
- Consistently provide the highest level of customer service and support to clients/colleagues
- Lead the Quality Control, inspection, reporting on issues of all merchandise (core and High-End) coming into Canada
- Assist with the inventory management process including Cycle counts, price changes, reticketing, Year-End Inventory
- Maintain inventory integrity by proactively managing shrink
- Lead and execute the process of all incoming and outgoing merchandise
- Lead on all domestic allocations/transfers from Yorkdale to other boutiques
- Ensuring proper documentation and procedures for international deliveries (B13A’s, Proformas, Brinks deliveries etc)
- Maintain document retention as per the guidelines
- Oversee and ensure compliance of Customer Owned Goods, International deliveries, Chanel et Moi Repairs, Consignment, Personal Shopping guidance
- Be an expert on Chanel Boutique Standard Operating Procedures while also implementing the WFQ procedures
- Reconcile and balance daily invoices based on the boutique
- Ensure an adequate stock of boutique supplies, packaging, tools, VM Materials (in conjunction with VM team) and order as necessary
- Inspect and maintain a clean and well-organized boutique regularly,



this includes boutique & heart of house
- Partner with Boutique Management as required
- Respond to Inter-Boutique Transfer requests in a timely manner using the appropriate tools
- Create, maintain and manage all Boutique invoices through our internal COUPA system
- Support with the spare part/accessories orders according to guidelines
- Partner with Boutique management to order, organize and allocate staff uniforms
- Coach and support the Heart of House team members
- Support Operations Manager in achieving Heart of House objectives and goals, as well as Boutique Management and Head Office in reaching their goals
- Actively participate in trainings and activities that support with professional development
- Be a champion of change management

What you will bring to the role:

- Minimum 3-5 years in retail operations and/or stock experience
- Strong knowledge of shipping and receiving
- Customer experience oriented
- Detail oriented
- excellent organizational skills
- Excellent verbal and written communication skills
- Comfortable working with different departments and teams
- Ability to lift approximately 15-20 lbs
- Heart of House: Requires in-store presence to facilitate the opening and closing of the boutique; the receiving/shipping of inventory; to support sales to ensure optimal client service
- Fluent English, French is a plus
