Program AssistantReporting to the Program Manager of the Bramalea Multi‑Disciplinary Team, the Program Assistant will provide support to the Manager and clinical teams, carrying out administrative tasks that impact daily operations including front‑desk reception duties. Program Assistants are responsible for performing general office duties, participating on organizational committees, and providing project support.Status: Permanent full‑time, 37.5 hours per week.Salary: $43,788.60 – $50,822.36 annually (subject to candidate qualifications).Location: 60 West Drive office; hybrid workplace model with required on‑site and/or community presence.ResponsibilitiesSupport scheduled rotational front‑desk coverage, welcoming clients and visitors to our space.Facilitate immediate requests and coordination such as receiving deliveries and engaging with vendors and service providers.Engage with clients to collect client feedback.Act as a liaison between the Program Manager and staff to ensure appropriate coordination and follow‑up on day‑to‑day needs.Manage and maintain confidential information.Support the Manager with financial processes, including electronic timesheets, payroll, and HR administration processes as required.Prepare purchase orders, quote sheets, and reconcile invoices, ensuring appropriate follow‑up with Finance and Accounts Payables.Plan and schedule meetings and training using MS Outlook Calendar to its fullest capacity for the program staff.Book meetings as directed, organize space, equipment, and logistics, prepare agendas, record, and distribute accurate minutes and action items following Agency templates.QualificationsPost‑secondary diploma in Business or Office Administration.Minimum 3 years of office administration experience.Superior knowledge and understanding of an administrative role supporting large multi‑disciplinary teams.Experience working in the non‑profit sector is an asset.Strong interpersonal skills with proven ability to approach, listen, build trust, and communicate across diverse cultures and intersectionality.
