We are Living Well Home Care : we provide Home Care services to people in West Vancouver and North Vancouver. We are a busy office of 7 people supporting approximately 90 Care Aides working in the feild with our clients. We are proud to be voted the North Shore's Favourite Home Care Agency in 2026.

We are seeking an Administrative Assistant who is highly organized, has great time - management and problem solving skills and most importantly has a positive and collaborative approach to work. We are seeking someone from Tuesday - Friday 9am - 5pm who has some flexibility if required. Our office is located on central Lonsdale Avenue in North Vancouver.

Job Overview

Administrative Duties

- Answer incoming telephone calls, greet visitors, and assist with general office inquiries.
- Maintain digital and physical employee and client records.
- Maintain hiring packages and onboarding documentation for new employees.
- Prepare paperwork and folders for current client assessments.
- Assist with employee file updates, status changes, and other administrative documentation.
- Support office projects, company events, and general operational needs as required.
- Assist management, human resources, nursing, scheduling, and accounting with administrative tasks and special projects.

Scheduling Duties

- Support day-to-day scheduling, including sick calls, cancellations, time changes, shift adjustments, and other scheduling changes.
- Assist with coordinating caregiver coverage and making schedule updates within the scheduling system.
- Communicate schedule changes clearly with caregivers, clients, and office staff as required, and ensure changes are documented appropriately.




- Help identify scheduling conflicts and assist in finding practical coverage solutions.
- Scheduling requires someone who can see the whole picture while also managing the individual details. You should be comfortable working through the moving pieces of a busy schedule and finding practical solutions when plans change.

Payroll Support – As Needed

- Provide occasional payroll backup under the direction of the Accounting Coordinator, including reviewing timesheets and employee hours for accuracy.
- Assist with employee setup and status changes in the payroll system, and help address payroll questions or discrepancies as needed.
- Provide coverage during vacations, sick leave, or other periods when additional payroll support is required.

Qualifications

- Minimum 1–2 years of administrative experience, ideally within a busy office environment.
- Previous payroll or bookkeeping experience is preferred.
- Experience with scheduling, healthcare, home care, human resources, or another service-based environment is an asset.
- Strong computer skills, including Microsoft Word, Excel, Outlook, and the ability to quickly learn new software programs.
- Working knowledge of QuickBooks Desktop is an asset.
- Highly detail-oriented with strong organizational and data-entry skills.
- Strong multitasking and problem-solving abilities.




- A quick learner who is comfortable moving between different programs, priorities, and responsibilities throughout the day.
- Able to look at the overall operational picture while also identifying and managing significant details.
- Professional and comfortable communicating with employees, clients, families, and members of the public.
- Demonstrates discretion and confidentiality when handling employee, client, payroll, and financial information.
- Strong verbal and written communication skills.

Pay: $27.50-$30.00 per hour

Expected hours: 30.0 per week
