Caretaker – Duties and Responsibilities
Shift and Availability
- Regular shift: 3:30 p.m. to 7:30 a.m., seven days per week, except for assigned weekends off.
- Caretakers are expected to remain on-site or within approximately 15 minutes of the property during their scheduled shift and must be reachable by cell phone.
- Caretakers are expected to assist and support the maintenance team when needed.
General Responsibilities
- Provide courteous, respectful, and skilled service to all residents, visitors, families, contractors, and staff.
- Report questions, concerns, significant incidents, building issues, and after-hours maintenance matters to the Manager, Environmental Services.
- Maintain appropriate confidentiality regarding residents, staff, incidents, and building matters.
- Follow all established building, safety, security, emergency, and operational procedures.
- Document significant calls, incidents, maintenance concerns, contractor visits, alarms, and other matters requiring follow-up.
After-Hours Phone and Resident Calls
- Carry and respond to the assigned after-hours phone during scheduled shifts.
- Respond to calls received through the building after-hours emergency number and intercom/enterphone system.
- Assist with routine urgent or emergency after-hours requests within the scope of the position, such as plugged toilets and other building or security issue.
- Determine when an issue requires escalation to the Manager, Environmental Services, emergency services, or an outside contractor.
- Caretakers' personal cell phone numbers will not be provided to residents or families unless specifically authorized.
Building Security and Inspections
- Conduct daily interior and exterior security checks of the building and property.
- Check common-area doors and windows to ensure they are secure.
- Report suspicious activity, unauthorized access, vandalism, property damage, safety hazards, or other security concerns.
- Monitor and report concerns involving building access systems, lighting, elevators, or other security-related equipment.
Building Systems and Procedures
- Maintain familiarity with all building procedures and emergency protocols.
- Maintain familiarity with fire alarm panels, alarm procedures, sprinkler systems, and other building emergency systems.
- Participate in required training relating to fire, emergency, safety, and building systems.
- Follow established procedures when alarms or building system issues occur and report concerns promptly.
Emergency Response
- Call 911 when emergency assistance is required.
- Assist fire department, paramedics, police, security personnel, and other emergency responders as required.
- Respond to fire alarms and monitor the fire panel in accordance with established procedures.
- Provide emergency responders with access to the building and relevant information when required.
- Report significant emergencies, incidents, or building concerns to the Manager, Environmental Services as soon as reasonably possible.
- Follow established emergency and evacuation procedures and keep emergency exits and access routes clear.
Move-Ins and Move-Outs
- Place the elevator on service mode for authorized move-ins and move-outs in accordance with building procedures.
- Assist residents and families with building-related inquiries and direct questions outside the caretaker's responsibilities to the appropriate staff member.
- Ensure common areas and building access remain secure during move-ins and move-outs.
Tradespeople and After-Hours Maintenance
- Provide access to authorized tradespeople and contractors when required.
- Open doors and provide supervised access to appropriate areas, including resident suites and rooftops, when authorized.
- Verify or confirm authorized contractor access where required and maintain building security while contractors are present.
- Assist with urgent or after-hours maintenance issues within the scope of the position.
- Use reasonable judgment to determine when an emergency or urgent issue requires an after-hours contractor, in accordance with established procedures.
- Notify the Manager, Environmental Services of after-hours contractor calls and significant maintenance issues as soon as reasonably possible or on the following business day, as appropriate.
- Document contractor attendance and significant maintenance work when required.
- Report recurring or unresolved building issues to the Manager, Environmental Services.
Grounds and Winter Responsibilities
- Conduct daily exterior checks of the property.
- Keep entrances, emergency exits, sidewalks, and other designated pedestrian areas free of debris and reasonably safe.
- Pick up minor garbage or debris resulting from wind or other conditions as required.
- Monitor grounds maintained by the contracted service provider and report concerns.
- During winter conditions, monitor entrances, emergency exits, sidewalks, and other designated areas for snow and ice.
- Apply sand/snow melt where required and within the caretaker's responsibilities.
- Notify the Manager, Environmental Services when additional snow clearing or other assistance is required, particularly during heavy snow events.
Communication, Safety and General Expectations
- Maintain effective communication with the Manager, Environmental Services.
- Provide appropriate handover information to the maintenance team.
- Report hazards, unsafe conditions, damage, leaks, flooding, power outages, heating/cooling concerns, or other significant building issues promptly.
- Follow all applicable workplace health and safety procedures and use required personal protective equipment.
- Perform duties in a professional, respectful, and safety-conscious manner.
