Job Summary

We are seeking an experienced and organized Clinic Lead Optometric Assistant to oversee our optometry clinic's daily workflow. The successful candidate will guide and mentor support staff, manage patient flow, and ensure an exceptional patient experience. You will also perform clinical, administrative and optical tasks, and serve as the main point of contact for operational troubleshooting. The Clinic Lead will be positive, energetic, and motivated to lead and coach a professional team.

Key Responsibilities and Duties

Leadership & Team Coordination

- Supervise staff: Coordinate the daily activities and schedules of front-desk and clinical support staff, serving as the liaison between doctors and the support team.
- Workflow optimization: Monitor patient flow from patient arrival to departure, to minimize wait times and maximize clinic efficiency. Maintain efficient processes and smooth clinic operations while delivering exceptional patient care.
- Training & mentoring: Train new optometric assistants on clinic protocols, software, and customer service standards.
- Quality assurance: Ensure compliance with safety, sanitation, and privacy regulations.
- Patient experience: Create a welcoming, supportive, and informative experience for every patient.

Clinical & Technical Duties

- Patient pre-testing: Conduct preliminary diagnostic tests, including auto-refraction, ocular imaging, and visual field testing.
- Patient history: Record applicable medical and ocular history and vital patient information prior to the doctor’s exam.
- Patient education: Instruct patients on contact lens insertion, removal, and care, as well as proper eyewear maintenance and lens options.
- Patient care coordinator: Review treatment plans and follow up schedules with patients,



as recommended by the optometrists.
- Equipment maintenance: Maintain, clean, and calibrate diagnostic instruments and optical tools. Troubleshoot technical malfunctions.

Optical & Technical Duties

- Optical retail: Recommend eyewear solutions for patients, based on their spectacle prescription and visual requirements, including lens and frame options. Place orders for spectacles and contact lenses.
- Repairs and adjustments: Assist patients with spectacle repairs and adjustments.
- Patient education: Inform patients about lens and frame features. Provide information about eyewear maintenance.
- Optical inventory management: Manage optical frame gallery and optical accessories inventory.
- Supplier meetings: Meet with supplier representatives to coordinate inventory management.

Administrative & Clerical Duties

- Scheduling leadership: Manage optometrist’s appointment schedules, urgent triage bookings, and specialist referrals.
- Billing: OHIP, private pay, and direct billing to insurance.
- Office Inventory management: Oversee ordering and stock levels for clinical, medical, and office supplies.
- Patient records: Update electronic medical records (EMR) accurately and manage third-party billing, insurance claims, and financial databases.

Qualifications & Skills

- Education: High school diploma required; post-secondary education in a health science or administrative field is an asset.
- Experience:



Minimum 2 or more years of experience working in an optometry office, with at least 1 year in a leadership or supervisory role.
- Technical skills: Proficiency with optometric diagnostic equipment and Electronic Medical Record (EMR) software.
- Interpersonal skills: Robust communication, conflict-resolution, and multi-tasking abilities in a fast-paced medical environment.

Hourly wage will be dependent on the successful candidate's skills and experience.
