Key Details:

Job Title: Communications Coordinator

Type: Full-time, 35 hours per week

Location: 3701 Danforth Avenue, Scarborough, ON M1N 2G2. This is a fully on-site position.

Salary: The salary for this position ranges from$45,000-$50,000 per year, depending on experience and qualifications. A comprehensive benefits package is also included.

Variety - the Children’s Charity (Ontario) supports programming for children with a disability at Variety Village and throughout the province. Variety programming is inclusive and powered by sport, transforming the lives of individuals and families, while creating more inclusive communities across Ontario. Variety -the Children’s Charity (Ontario) is funded through individual donors, corporate sponsorship, fundraising activities, federal and provincial governments, and foundations.

Variety - the Children's Charity (Ontario) is part of an international charity that has been in operation since 1928. The charity began in Pittsburgh and spread throughout the United States. The chapter in Ontario was the first chapter outside the United States and is now one of the 5 Variety Chapters in Canada.

It was founded in 1945, and the original mission of the charity was to build a school for boys with a disability who could not receive an education in the mainstream school system. The school was called Variety Village.

Variety Village operated as a school until it became a centre of para-sport excellence.

Since the 1970s, Variety athletes and coaches have represented Canada at every summer Paralympic games. Currently, Variety Village is a 170,000 square foot facility and operates as a fitness centre for the general community as well as offering programs, training and camps for children of all ages and abilities.

The Opportunity:

Reporting to the Director, Brand & Communications, the Communications Coordinator plays a key role in coordinating the day-to-day projects, priorities and workflow of the Communications department.

This hands-on role helps move communications projects from initial request through development, approval, production and delivery. The Coordinator will manage timelines and calendars, coordinate deliverables, follow up with stakeholders and provide communications support across digital, email, web, print, social media, CRM, internal communications and events.

The ideal candidate is a highly organized communicator who takes initiative, manages multiple priorities and enjoys keeping projects and people moving toward completion.

Key Areas of Responsibility:

Project & Department Coordination

· Coordinate day-to-day communications projects and requests from departments across the organization.

· Maintain project trackers, production schedules, content calendars and departmental deadlines.

· Coordinate projects from briefing through development, review, approval, production and delivery.

· Establish timelines, gather required information and proactively follow up with stakeholders on outstanding deliverables and approvals.

· Track project status and competing priorities, flagging potential delays or issues to the Director, Brand & Communications.

· Coordinate work across copy, creative, web, email, social media, print and other channels to ensure projects are completed on time.

· Maintain organized project files, briefs, approvals, templates and communications assets.

· Support continuous improvement of departmental workflows and processes.

Communications & Content

· Draft, edit and proofread communications including emails, newsletters, member and staff notices, web copy, social media content, presentations, signage and promotional materials.

· Coordinate the collection of information, stories, photography and content from departments across the organization.

· Support website updates, social media scheduling, newsletters and internal communications.

· Conduct quality-control checks for accuracy, brand consistency, accessibility and required approvals.

· Help ensure communications follow established Variety Village brand standards, messaging and accessible communications practices.

· Support communications for organizational initiatives, campaigns, programs, events and facility updates.

CRM, Email & Digital Support

· Assist with email communications, campaigns, audience segmentation and customer/member journeys using Salesforce and related marketing platforms.

· Support the building, testing, scheduling and deployment of email communications.

· Assist with maintaining campaign lists, audience segments and communication preferences within the CRM.

· Support automated communications and CRM workflows in collaboration with the Communications team and other departments.





· Assist with basic campaign reporting and monitoring of email and digital communications performance.

· Production, Vendors & Events

· Coordinate with printers, designers, agencies and other external vendors, including quotes, specifications, proofs, timelines and delivery.

· Coordinate production of print, signage, promotional and branded materials.

· Support communications requirements for organizational events, including signage, presentations, photography and promotional materials.

· Maintain inventories of communications and branded materials as required.

· Attend and support occasional evening or weekend events as required.

Department Support

· Prepare project briefs, meeting notes, status updates and other departmental documentation.

· Assist with tracking departmental purchases, quotes, invoices and production expenses.

· Provide general coordination and administrative support to the Director, Brand & Communications and Communications team.

· Perform other related duties as assigned.

Qualifications & Key Competencies:

· Diploma or degree in communications, public relations, marketing, journalism, business administration or a related field.

· 2–4 years of relevant experience in communications, marketing, project coordination or a related role.

· Strong project coordination and organizational skills with the ability to manage multiple projects, stakeholders and deadlines.

· Excellent written and verbal communication, editing and proofreading skills.

· Strong attention to detail and demonstrated ability to follow up and move projects through to completion.

· Initiative, sound judgment and strong problem-solving skills.

· Robust interpersonal skills and ability to work effectively across departments and with external partners.

· Ability to work independently and collaboratively in a fast-paced environment with changing priorities.

· Proficiency in Microsoft Office and common digital collaboration and project-management tools.

· Experience with CRM and email marketing platforms such as Salesforce, Marketing Cloud, Mailchimp or similar systems is an asset.

· Familiarity with WordPress, Canva, social media and digital communications is an asset.

· Experience coordinating creative projects, print production or external vendors is an asset.

· Knowledge of accessibility and inclusive communications practices is an asset.

· Flexibility to occasionally work evenings or weekends.
