We are seeking a dynamic and detail-oriented Database & Gift Administrator to join our dedicated team. In this vital role, you will manage and maintain our donor and gift database in SALESFORCE, and MS Office SharePoint, ensuring accurate record-keeping and seamless data flow. Your expertise will support our fundraising efforts by providing reliable data insights, coordinating gift processing, and enhancing our engagement with supporters.
The Database & Gift Administrator is responsible for the accurate processing, recording and reconciliation of all incoming donations at Operation Eyesight. This role ensures that fundraising revenue is entered, coded and receipted accurately and in compliance with CRA regulations, and that reliable donation data is available for reporting and financial reconciliation.
Reporting to the Senior Manager, Fund Development Operations & Annual Giving, the Administrator administers the Salesforce CRM system on a day-to-day basis, supports internal reporting needs, and serves as the primary liaison between Fund Development and Finance for revenue data. This role provides operational insight and recommendations to support strong data integrity and system optimization and plays a critical role in protecting revenue accuracy, donor trust and financial compliance.
Responsibilities: Gift Processing and Tax Receipting
· Open, sort and distribute incoming physical mail, including donation cheques and donor correspondence.
· Process and record all incoming donations (cheques, credit cards, online gifts, EFT, payroll, third-party platforms, stock, wire transfers, etc.) in Salesforce accurately and in a timely manner.
· Ensure proper gift coding, fund allocation and campaign attribution in collaboration with fundraisers.
· Reconcile donation records with bank statements.
· Complete and reconcile deposit batches to ensure financial accuracy.
· Track and manage recurring donations,
direct deposit files and payment adjustments.
· Generate and issue tax receipts and acknowledgements in compliance with CRA regulations and organizational policies and timelines.
· Liaise closely with Finance to provide donation reports for entry into accounting systems.
· Respond to donor inquiries related to donations, receipting and payment processing.
· Monitor and maintain secure access to online donation portals and platforms.
· Maintain documentation of gift processing procedures and internal controls.
· Manage database queries and troubleshoot issues to ensure smooth daily operations
· Provide exceptional customer service by responding promptly to inquiries from donors, staff, and external partners
Responsibilities: Database Administration and Reporting
· Administer Salesforce CRM on a day-to-day basis, ensuring data accuracy and record integrity.
· Maintain fund codes and General Accounting Units (GAUs) in alignment with established data governance practices.
· Assist team members with report generation and data extraction.
· Produce recurring revenue reports for leadership (monthly, quarterly, annual).
· Provide operational recommendations regarding database improvements and efficiencies.
· Coordinate with technical support and external vendors to resolve system issues.
· Support implementation of approved system enhancements and optimizations.
Requirements:
· 2–4 years of experience in gift processing, database administration or fundraising operations.
· Experience working with CRM systems; SALESFORCE proficiency required.
· Experience reconciling financial data and collaborating with accounting teams.
· Working knowledge of CRA charitable receipting regulations.
· Familiarity with database structure and reporting principles.
· Analytical ability to interpret data and generate meaningful reports.
· Exceptional accuracy and attention to detail.
· Ability to manage confidential financial information with discretion.
Details:
· Primarily office-based with prolonged computer use; three days/week in the office, 1-2 days work from home-from-home depending on operational requirements
· Daily handling of physical mail and cheque deposits
· High-volume data entry environment, particularly during peak fundraising periods.
Measures of Success:
· 100% compliance with CRA receipting standards.
· Minimal reconciliation discrepancies.
· Tax receipts are issued within organizational timelines.
· Monthly reconciliation is completed accurately and on schedule.
· Timely delivery of monthly, quarterly and annual revenue reports.
