We are looking for an organized, detail-oriented Dental Supplies Procurement & Inventory Manager to manage dental supply purchasing, inventory, clinic orders, vendor coordination, and reporting across our growing network of dental clinics. This role will manage our centralized supplies app, maintain accurate inventory, coordinate clinic orders, work with local and international vendors, and ensure the right supplies are available and delivered to each clinic on time.
Key Responsibilities
1. Inventory Management
- Monitor dental supply stock levels for all clinics through the centralized supplies app.
- Maintain minimum and maximum inventory levels.
- Conduct regular inventory counts and ensure system records match physical inventory.
- Identify low-stock and high-usage items and arrange replenishment as needed.
2. Clinic Orders & Fulfillment
- Review supply orders submitted by clinics and confirm availability, approved products, and budget requirements.
- Pick, organize, pack, and label supplies for each clinic.
- Prepare completed orders for driver pickup and delivery.
- Follow up on missing, damaged, incorrect,
or delayed supplies.
3. Vendor Management
- Coordinate supply purchases and replenishment with domestic and international vendors.
- Monitor pricing, product availability, lead times, backorders, and substitutions.
- Maintain strong vendor relationships and follow up on outstanding orders.
- Identify opportunities to reduce costs through bulk purchasing and preferred suppliers.
4. Data & Reporting
- Maintain accurate product, vendor, inventory, and ordering information.
- Use the supplies app and Excel to track purchasing and inventory activity.
- Prepare monthly reports on clinic supply usage, purchasing, spending, and budget compliance.
- Identify unusual or excessive ordering and spending patterns.
5. Clinic Support
- Act as the main point of contact for dental supply-related matters between clinics, vendors, drivers, and head office.
- Assist clinics with ordering, inventory questions, and supply requirements.
- Support supply and inventory setup for new clinics and acquisitions.
Qualifications & Skills
- 2–3 years of Dental Assistant experience, preferably with procurement, inventory, or clinical supplies.
- Relevant experience in procurement, purchasing, inventory, or clinical supply management.
- Strong Excel and inventory/procurement software skills.
- Excellent organization, time management, and attention to detail.
- Strong communication skills and ability to manage multiple priorities.
- Ability to safely lift, organize, and pack supply boxes.
- Dental, healthcare, medical, or international vendor experience is an asset.
Working Conditions
- Full-time, on-site position.
- Combination of office/data work and hands-on inventory and order preparation.
- Regular standing, walking, bending, and moving supply boxes.
- Occasional extended hours may be required based on operational needs.
