Job Overview

We are seeking an energetic, organized, and hands-on Event Coordinator to join our team and help oversee the successful execution of events at our venue.

This position will work closely with the General Manager and Event Manager to ensure events are properly planned, organized, staffed, and executed. While the role includes administrative and office-related event duties, the primary focus will be being on-site and actively involved in events, particularly during busy event days and weekends.

The Event Coordinator will oversee a variety of events including birthday parties, corporate events, fundraisers, school and camp groups, team-building events, and other private functions. A major responsibility of this position will be supervising our Party Hosts, ensuring they understand their assigned events, follow event timelines, provide excellent guest service, and keep parties running smoothly throughout the day.

The ideal candidate is someone who enjoys being on the floor, working directly with guests and staff, solving problems quickly, and making sure every event is executed to a high standard.

Responsibilities

- Work closely with the Event Manager and General Manager to coordinate and execute upcoming events.
- Oversee events on-site from setup through completion and ensure all event details are followed correctly.
- Take the lead in overseeing birthday parties, corporate events, fundraisers, school/camp events, team-building events, and other group bookings.
- Supervise and support Party Hosts during their assigned events.
- Review the day's event schedule with Party Hosts and ensure everyone understands their responsibilities, timelines, activity schedules, food service requirements, and special requests.
- Monitor parties and events throughout the day to ensure they remain on schedule and guests are receiving excellent service.
- Step in and assist Party Hosts whenever additional support is required.
- Help resolve guest concerns or operational issues quickly and professionally.
- Ensure event spaces, party rooms, activity areas, and tables are properly prepared before guests arrive.
- Coordinate event activities with different departments and team members to ensure smooth transitions throughout each event.




- Communicate with the kitchen, front desk, activity attendants, management, and other departments regarding event timing and guest requirements.
- Assist with event setup, decorations, food service coordination, room turnover, and breakdown when required.
- Welcome event organizers and confirm final event details upon arrival.
- Maintain communication with clients throughout their event and ensure their expectations are being met.
- Identify opportunities to upsell additional activities, food, beverages, arcade options, or event enhancements when appropriate.
- Assist with administrative event duties including preparing event schedules, reviewing bookings, updating event information, organizing paperwork, and communicating event details to staff.
- Assist the Event Manager with client follow-ups, event changes, guest counts, menus, schedules, invoices, and other booking-related tasks when required.
- Help maintain accurate event records and ensure important information and special requests are properly documented.
- Assist with larger corporate and private events requiring additional coordination between vendors, catering, entertainment, and venue operations.
- Monitor event operations and identify ways to improve guest experience, efficiency, and overall event execution.
- Ensure Party Hosts and event staff maintain professional presentation, hospitality standards, and excellent customer service at all times.

Requirements

- Previous experience in event coordination, hospitality, restaurants, entertainment venues, hotels, or customer service is preferred.
- Experience supervising or leading employees is considered a strong asset.
- Strong leadership skills with the ability to confidently direct and support Party Hosts and event staff.
- Excellent customer service and guest relations skills.




- Strong communication skills and the ability to interact professionally with clients, parents, corporate organizers, vendors, and staff.
- Highly organized with excellent attention to detail.
- Ability to manage multiple events and priorities simultaneously.
- Comfortable working in a fast-paced, high-energy environment.
- Ability to remain calm and make quick decisions when unexpected situations arise.
- Strong time-management skills and the ability to keep events running according to schedule.
- Comfortable performing both hands-on operational work and administrative office duties.
- Strong computer and administrative skills with the ability to learn event booking and management systems.
- Ability to upsell products, activities, food, beverages, and event upgrades.
- Versatile availability, particularly evenings and weekends, as these are typically our busiest event periods.
- Previous experience with birthday parties, corporate events, group bookings, or family entertainment venues is an asset.

What We Are Looking For We are looking for someone who takes ownership of their events and enjoys being actively involved rather than simply coordinating from an office.

You will often be the main point person on the floor for events happening that day, making sure Party Hosts are supported, guests are happy, schedules are followed, activities are running properly, and any issues are handled immediately.
