Position Summary
St. Andrew's Hall (SAH) is seeking a skilled, organized, and enthusiastic Executive Assistant, Dean's Office to support the Dean and the work of the College. This role is central to the smooth functioning of the Dean's Office and contributes to the leadership, governance, communications, and daily operations of the College.
The position offers an opportunity to play a meaningful role in a vibrant academic and faith-based community located on the beautiful campus of the University of British Columbia.
The Executive Assistant serves as a trusted administrative partner to the Dean and Assistant Dean, helping coordinate meetings, communications, events, Board governance, and special projects while fostering effective relationships across the College community.
St. Andrew's Hall is the Presbyterian Church in Canada college at the University of British Columbia, situated on the traditional, ancestral, and unceded territory of the Musqueam people.
Responsibilities
Executive and Administrative Support
- Provide executive-level administrative support to the Dean and Assistant Dean.
- Manage calendars, appointments, meetings, and scheduling.
- Coordinate correspondence, communications, reports, and presentations.
- Arrange travel, accommodations, and logistics as required.
- Maintain effective filing and record-management systems.
Governance and Meeting Support
- Support the work of the SAH Board and Executive Committee.
- Serve as recording secretary for Board meetings.
- Coordinate agendas, minutes, supporting documentation, and follow-up on action items.
- Maintain governance records and official documentation.
Communications and Events
- Assist in preparing internal and external communications.
- Support updates to the College website, newsletters, and social media channels.
- Coordinate events, receptions, meetings, and special projects on behalf of the Dean's Office.
- Assist with donor, alumni, church, and community engagement activities as requested.
College Support
- Provide administrative support to various College departments as directed by the Dean.
- Assist with personnel administration and maintenance of confidential files.
- Recommend and implement improvements to office procedures and administrative processes.
- Contribute positively to a collaborative and service-oriented workplace culture.
Other Duties
- Perform additional responsibilities as assigned by the Dean or Assistant Dean.
Qualifications
Education
- Administrative Assistant education, training, or equivalent experience is preferred.
- A university degree is considered an asset.
Experience
- Three to five years of administrative or executive support experience preferred.
- Experience supporting senior leaders is an asset.
- Experience within post-secondary education, non-profit organizations, churches, or similarly complex organizations is an asset.

- Proficiency with Microsoft Office and comfort learning new software and digital communication platforms.
- Experience preparing agendas, minutes, reports, and correspondence.
- An appreciation for the mission and values of St. Andrew's Hall.
- The ability to work independently while contributing as part of a team.
Hours and Compensation
- 32-40 hours per week, negotiable with the successful candidate.
- $40.00 per hour.

- On-campus position located at UBC.
