We are a growing, large pediatric & GP dental practice seeking an experienced, organized, and personable Dental Office Manager to lead our day-to-day clinical and administrative operations.
This is a hands-on leadership role for a dependable dental professional who can keep a busy office productive, well organized, properly staffed, and focused on an excellent patient and family experience.
Key Responsibilities
- Oversee daily office operations from opening to closing, proactively resolving scheduling, staffing, patient-service, and workflow issues.
- Lead and support clinical and administrative team members through scheduling, daily assignments, coaching, accountability, conflict resolution, and performance expectations.
- Coordinate staff schedules and coverage, including vacations, holidays, sick days, and unexpected absences.
- Oversee and optimize doctor and hygiene schedules to support productive appointment flow, minimize gaps, and coordinate effectively with providers and the front office.
- Serve as the primary point of contact for staff and operational concerns, making sound decisions and ensuring issues are handled promptly and professionally.
- Coordinate clear communication among doctors, hygienists, clinical staff, and administrative staff regarding patient needs, treatment priorities, schedule changes, and daily office matters.
- Manage escalated patient and family concerns while maintaining positive, professional relationships.
- Oversee administrative and financial processes, including patient accounts, billing, insurance claims, financial arrangements,
collections, and accounts receivable.
- Identify opportunities to improve systems, office efficiency, team performance, and patient service.
- Work independently while reporting to and communicating closely with the owner.
Qualifications
- Minimum 3 years of Dentrix experience in a dental office workplace.
- Previous dental office administration or dental office management experience is required.
- Experience with patient accounts, billing, insurance claims, accounts receivable, and collections is required.
- Demonstrated experience managing accounts receivable.
- Strong knowledge of dental terminology, dental procedures, and dental office workflow.
- Proven ability to manage and support a busy clinical and administrative team.
- Strong organizational, communication, leadership, and time-management skills.
- Ability to manage multiple priorities accurately in a fast-paced professional environment.
- Strong attention to detail, accountability, and follow-through.
- Ability to work independently while collaborating effectively with the owner and the wider team.
- English fluency is required.
