TravelVAX is looking for a reliable, organized, and patient-focused Front Desk Receptionist to join our team. This is an exciting opportunity for someone who enjoys working in a fast-paced clinical environment and providing excellent patient service.

TravelVAX is currently looking for one full-time, and one part-time front desk receptionist at our Victoria clinic.

Position Summary:

The Front Desk Receptionist at TravelVAX plays a key role in providing exceptional customer service and driving clinic sales through proactive client engagement, product and service promotion, and efficient appointment coordination. The receptionist serves as the first point of contact for clients, ensuring a welcoming experience while assisting with bookings, payments, and inquiries related to routine & travel vaccinations, TB skin testing, Consultations, IV therapy, and other clinic services. The receptionist will also play an important role in supporting our nurses and patients while helping ensure the clinic operates smoothly and efficiently.

Key Responsibilities

- Maintain patient confidentiality and follow clinic policies and procedures.
- Greet clients by phone, or via email in a professional, friendly, and efficient manner.
- Provide accurate information about TravelVAX services, vaccine requirements, and pricing.
- Handle inquiries regarding travel consultations & vaccinations, TB testing, routine immunizations, and IV therapy.
- Manage appointment bookings, cancellations, and rescheduling through the clinic’s scheduling system.
- Follow up with clients regarding appointments, payments, and post-visit feedback.




- Prepare and organize patient charts and clinic documentation.
- Address client concerns promptly and escalate issues when necessary to management or the nurse team.
- Inventory management and supply organization.
- Help maintain a clean, organized, and welcoming clinic environment.

Sales & Promotion

- Educate clients on available services (e.g., travel consultations, Yellow Fever, Rabies, Shingles, HPV, TB Skin Testing, and IV Therapy).
- Identify opportunities to upsell additional vaccines or travel-related services based on client needs and travel destinations.
- Meet or exceed individual and team sales goals while maintaining a customer-first approach.

Administrative & Operational Support

- Process payments through the system (Stripe, credit/debit, or other methods) and issue receipts.
- Assist with refund requests, and documentation as needed.
- Coordinate with nurses and management to ensure efficient daily operations.
- Maintain confidentiality and comply with TravelVAX privacy and clinic policies.

Skills and Qualifications

- Excellent communication and interpersonal skills.
- Detail-oriented and able to multitask in a fast-paced clinic environment.
- Comfortable discussing health-related services with clients.
- Proficient with scheduling and CRM systems (e.g., Zoho, Vaxis, Google Workspace).




- Professional phone etiquette and written communication skills.
- Previous experience in healthcare, pharmacy, or service-based sales is an asset.

Education and Experience

- High school diploma required; post-secondary education in business, healthcare, or related field preferred.
- Minimum 1–2 years of experience in reception, customer service and/or sales.
- Experience in a clinic, pharmacy, or travel health setting is considered a strong asset.

Working Conditions

- Clinic-based environment with frequent interaction with clients, nurses, and healthcare professionals.
- May require evening or weekend availability depending on clinic hours.
- Training provided on travel health products, vaccines, and customer care standards.

Job Type:

1. Full time: 4-5 days a week
2. Part-time: 2-3 days a week

Flexible language requirement:
- French not required

Schedule:

- Mondays to Saturdays
- Weekdays: 10:30am-6:30pm, Saturdays: 9am-5pm
- Evenings & Weekends
- All holidays closed

Experience:

- Receptionist: 1 year (preferred)

Pay Range: $18-$20/hour, may differ depending on experience.
