Position Overview The Geotechnical Administrative Assistant provides administrative, document control, and project support services to the Geotechnical Division. This role assists with proposal preparation, invoicing, report production, client deliverables, and general project administration to help ensure projects are completed efficiently, accurately, and on schedule. The position also provides backup reception and administrative support as required.
Responsibilities
- Provide day-to-day administrative support to geotechnical technical staff, project managers, and division leadership.
- Prepare, review, format, and assemble technical reports, proposals, presentations, and project documentation.
- Coordinate report submissions and distribution to clients, contractors, regulatory agencies, and project stakeholders.
- Maintain electronic filing systems, project records, and document control processes.
- Assist project managers with project setup, execution, closeout, and document management activities.
- Perform data entry and maintain project databases, records, and tracking spreadsheets.
- Assist with the preparation, formatting, assembly, and submission of proposals, expressions of interest, qualifications packages, and other business development materials.
- Assist with project and laboratory billing, invoice preparation, and financial tracking activities.
- Compile supporting documentation required for invoicing and project accounting.
- Support laboratory staff with report compilation and general administrative duties as required.
Job Requirements
- Diploma or certificate in Office Administration, Business Administration, Project Administration, or a related field is considered an asset.
- Minimum 1-3 years of administrative or project support experience.
- Experience in an engineering, consulting, construction, environmental, or professional services environment is considered an asset.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, Teams, and SharePoint.
- Strong document formatting, proofreading, organizational, and time management skills.
- Experience with report preparation, proposal support, invoicing, document control, or project administration is considered an asset.
- Exceptional attention to detail and ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills.
- Ability to work independently and collaboratively in a team environment.
Working Conditions
- Primarily office-based position with regular computer, administrative, and document management work.
- Ability to sit for extended periods and occasionally lift or move files, report packages, office supplies, and boxes up to 25 lbs.

Pay: From $23.00 per hour
Expected hours: 37.5 per week
