About The Opportunity
Our Public Sector client has a requirement for one (1) Intermediate Information/Records Management/Recordkeeping Specialist to provide professional indexing services in support of a specialized scientific information database.
The successful candidate will be responsible for creating high-quality indexing entries, including cataloguing, subject analysis of scientific research publications, abstract preparation and data entry in accordance with established indexing standards. The work also includes maintaining indexing documentation and supporting materials related to the indexing process.
Duties include but are not limited to:
- Provide professional indexing services and complete a minimum of 65 contributions per month, entering submissions into the Aquatic Sciences and Fisheries Abstracts (ASFA) bibliographic database in accordance with ASFA standards
- Undertake appropriate measures to avoid the development of an indexing backlog
- Create or edit existing abstracts for input into ASFA
- Conduct research to locate publications that are required to be indexed
- Revise the Monitoring List of Active and Inactive Input titles annually
- Participate in ASFA Steering Committee meetings, if required
- Search for Canadian articles and publications requiring indexing, as required
- Prepare detailed semi-monthly progress reports outlining completed contributions and statistics related to indexed contributions
- Prepare an annual report at the end of each fiscal year, including the complete list of contributions and series titles indexed during the year
About You The successful candidate will have the following:
- A relevant combination of education, qualified certification and experience
- Proof of training in the use of Open Aquatic Sciences and Fisheries Abstracts (Open-ASFA) software
- Experience cataloguing in accordance with ASFA guidelines
- Experience that can be demonstrated through two (2)
project summaries completed within the five (5) years preceding the bid closing date, including:
- Project name
- Client organization
- Period during which the services were provided, including month and year
- An outline of the services provided
- Qualifications as a librarian or library technician, or significant experience working with fisheries or aquatic sciences research tools
- Training in the use of Open-ASFA and experience preparing ASFA metadata prior to indexing
- Experience with cataloguing, aquatic-science thesaurus tools and subject analysis of aquatic-science research publications
- Knowledge of ASFA input screens and the marine science publishing industry
About the Job
- Contract Term: From contract award to September 30, 2027, with up to two (2) additional one-year periods
- Estimated Level of Effort: Up to 60 days during the initial contract period, with up to 60 days for each option period
- Language Requirement: English at an Intermediate level; or French at a Basic level
