About the Role
We're a growing data centre company looking for an organized, professional Junior Executive Assistant to support our site leadership team. This role combines executive support with front-of-house responsibilities. You'll be the first point of contact for visitors, contractors, and clients arriving on site. The ideal candidate is detail-oriented, comfortable with technology, and able to keep daily operations running smoothly in a fast-paced, security-conscious environment.
Key Responsibilities
Executive Support
- Manage calendars, schedule meetings, and coordinate appointments for site leadership
- Prepare, edit, and format correspondence, reports, presentations, and meeting materials
- Take meeting notes, track action items, and follow up on deadlines
- Coordinate travel arrangements and process expense reports
- Maintain organized digital and physical filing systems
- Handle confidential information with discretion and professionalism
- Use AI tools to draft documents, summarize information, and streamline administrative tasks
Reception & Site Access
- Greet visitors, clients, vendors, and contractors in a professional and welcoming manner
- Sign in and sign out all guests according to site security and access procedures
- Verify visitor identification and coordinate with hosts and security personnel
- Issue and track visitor badges and maintain accurate visitor logs
- Answer and direct phone calls and general inquiries
- Keep the reception and common areas organized and presentable
Office Administration
- Order and track office supplies
- Coordinate deliveries and incoming and outgoing mail
- Support onboarding logistics for new staff and contractors
- Assist with special projects as needed
Qualifications
- 2+ years of experience as an executive assistant, administrative assistant, or in a similar role
- Fluent in English with strong reading, writing, and verbal communication skills
- Proficient in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams
- Experience using AI tools (e.g. ChatGPT, Microsoft Copilot, Claude) to support daily work
- Excellent organizational and time-management skills
- Professional, friendly demeanour with robust customer-service skills
- Ability to handle sensitive information with discretion
- High school diploma required; post-secondary education in business or office administration is an asset
Nice to Have
- Experience in data centres, technology, facilities, or other secure or regulated environments
- Familiarity with visitor management or access control systems
