Mechanical Estimator / Sales & Project Management

Compensation: $75,000+ per year, based on experience and qualifications

Air System Supplies is seeking a motivated individual to join our growing Sales & Project Management team, with a primary focus on mechanical estimating, HVAC product applications, project coordination, and customer support.

We are a well-established HVAC distributor and manufacturer representative serving the BC mechanical industry since 1980. Our team works closely with contractors, engineers, developers, and suppliers on a wide range of commercial, institutional, and residential projects throughout British Columbia.

This role is ideal for someone with experience in HVAC, sheet metal, mechanical construction, plumbing, electrical, estimating, technical inside sales, or related construction industries who is looking to grow within a fast-paced and highly collaborative environment.

Successful candidates will work closely with customers, suppliers, and internal staff to prepare quotations, review drawings and specifications, coordinate projects, and assist with equipment and product selections.

This is a high-volume role that requires solid organization, consistent output, and the ability to independently manage multiple projects and priorities. The successful candidate will be comfortable taking ownership of their workload, proactively following up on outstanding items, and moving projects forward with limited day-to-day supervision.

This position offers long-term growth opportunities into project management, technical sales, and customer account development.

Responsibilities

- Review mechanical and HVAC drawings, specifications, schedules, and tender documents
- Prepare accurate material take-offs and quotations for mechanical equipment and HVAC products
- Complete engineered submittal packages for mechanical equipment and commercial grilles/registers/diffusers (GRD)
- Manage multiple active quotations, projects, and customer requests while meeting required deadlines
- Prioritize workload effectively and maintain consistent progress across assigned projects




- Take ownership of assigned work from initial request through quotation, project award, ordering, and follow-up
- Proactively identify missing information, communicate with the appropriate customer or supplier, and resolve outstanding items
- Coordinate equipment selections, pricing, product applications, and project requirements
- Cross-reference products and substitutions between manufacturers
- Communicate effectively with customers, contractors, engineers, suppliers, and internal staff
- Assist with project management and order coordination after project award
- Maintain accurate quotation, project, and customer records
- Provide technical and customer support related to HVAC products and equipment selection
- Submit purchase orders and coordinate project materials with suppliers
- Attend customer meetings and industry events as needed

Recommended Qualifications

- Diploma, technical training, or equivalent industry experience in HVAC, mechanical systems, construction, estimating, or related fields
- Minimum 2 years of experience in estimating, inside sales, project coordination, or a related construction/trade environment preferred
- Experience with HVAC, sheet metal, mechanical construction, plumbing, electrical, or related construction industries is considered a strong asset
- Experience reading and interpreting mechanical drawings, specifications, and equipment schedules
- Strong computer proficiency, including Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint)
- Strong organizational and time-management skills with the ability to prioritize a high volume of work
- Demonstrated ability to work independently, take initiative, and follow tasks through to completion
- Consistent attention to detail and accuracy, even while managing multiple deadlines




- Strong communication skills and a willingness to proactively contact customers, suppliers, and coworkers when information or action is required
- Technical aptitude with the ability to quickly learn HVAC products, applications, equipment selections, and manufacturer requirements
- Ability to adapt to changing priorities and maintain productivity in a fast-paced environment
- Reliable, accountable, and comfortable being responsible for individual workload and deadlines while contributing within a team environment
- Professional and customer-focused approach when dealing with customers, suppliers, and internal staff
