Restore Mobility Physio & Wellness is a growing multidisciplinary healthcare clinic committed to providing exceptional patient care through Physiotherapy, Massage Therapy, Kinesiology, Acupuncture, and other wellness services.
We are looking for a friendly, organized, reliable, and patient-focused Medical Office Assistant (MOA) / Clinic Administrator to join our Chilliwack, BC team.
This position is ideal for someone who enjoys working with people, thrives in a busy healthcare environment, and takes pride in creating a welcoming and professional patient experience.
Key Responsibilities
As the first point of contact for our patients, you will play an important role in the smooth operation of our clinic. Responsibilities include:
- Managing patient appointments and practitioner schedules using JaneApp
- Greeting patients and managing check-in/check-out professionally and warmly
- Answering phone calls, emails, and general patient inquiries
- Scheduling, rescheduling, and confirming appointments
- Processing payments and handling Extended Health Benefits direct billing
- Assisting with ICBC, WorkSafeBC (WSBC), and third-party billing
- Maintaining accurate and up-to-date patient records
- Protecting patient privacy and maintaining strict confidentiality
- Coordinating practitioner schedules and treatment room readiness
- Responding to patient questions and concerns with professionalism and empathy
- Supporting daily clinic operations and administrative workflows
- Maintaining a clean, organized, and welcoming clinic environment
- Assisting with cleaning and sanitization as required
- Performing other administrative duties as needed
Qualifications & Skills
Required
- Minimum 1 year of experience in a medical office, healthcare clinic, or administrative role
- Previous experience using JaneApp
- Experience with ICBC, WorkSafeBC (WSBC), and Extended Health Benefits direct billing
- Strong computer skills, including Microsoft Word, Excel, and Outlook
- Excellent verbal and written communication skills
- Strong attention to detail and organizational skills
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment
- Professional, dependable, and team-oriented attitude
- Strong customer service and interpersonal skills
- Fluent in English
Preferred
- Medical Office Assistant (MOA) Diploma or related education
- Experience working in a Physiotherapy, Chiropractic, Massage Therapy, or multidisciplinary healthcare clinic
- Knowledge of healthcare administration and insurance billing processes
- Experience working with ICBC and WorkSafeBC claims.
