POSITION OVERVIEW The Office Administrator is a permanent, part time position reporting to the Human Resources Department. This role is responsible for the day-to-day operations of the office, provides administrative support, and assists the various departments within IDS as needed.

This position is well suited for someone who is highly organized, detail-oriented, and comfortable with helping our team and visitors feel supported from the moment they arrive.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

· Serve as the first point of contact for visitors and staff

· Answer and direct incoming phone calls and inquiries in a professional manner

· Manage incoming and outgoing mail, including preparing parcels and arranging couriers as needed.

· Perform accurate and timely data entry across relevant organizational databases and information systems with the Human Resources department.

· Maintain, update, and audit records within organizational systems to ensure data integrity and accuracy.

· Scan, digitize, and organize physical documents into appropriate filing systems as needed.

· Provide ad-hoc support for various departments as needed.





· Process purchase orders and ensure accurate communication with the Finance department.

· Monitor donations on our fundraising platforms and ensure donors are promptly receipted and acknowledged.

· Take primary responsibility for organizing and arranging emergency drills to ensure safety compliance.

· Assist with logistics for internal events and carry out other related administrative duties as assigned.

KEY KNOWLEDGE, SKILLS, AND EXPERIENCE

· Previous data entry or administrative experience; minimum 1 year required.

· Demonstrated accuracy and attention to detail in data entry tasks.

· Strong interpersonal and customer service skills

· Proficient computer skills, including a demonstrated familiarity with the MS Office suite.

· Ability to maintain confidentiality and handle sensitive records with discretion.

· Clear and professional written and verbal communication skills.

· Reliable team member with a positive and proactive attitude.

· Self-starter with the capacity to work independently and follow tasks through to completion.

EDUCATION AND TRAINING

· High school diploma or CAEC preferred.

· Post-secondary education or coursework in Office Administration or a related field is an asset.

· Experience with database or records management systems is an asset.

· Experience with general accounting is an asset.

· Must be able to work in-person

Pay: $19.00-$23.00 per hour

Expected hours: 32.5 per week
