Position Summary
Temporary Part-Time Support Staff, replacement position (immediate need – March 12, 2027, with the possibility of extension) The Part time Ancillary Services Associate provides front-line support for a range of student and employee services, including the Campus Store, ONE Card, parking, lockers, and course materials. The incumbent serves as a primary point of contact for inquiries, transactions, and service requests, delivering responsive and professional customer service while supporting day-to-day retail and administrative operations.
Working as part of the Ancillary Services team, the incumbent assists customers in resolving issues, accessing services, and navigating College processes. The role also supports store merchandising, inventory management, special events, and ongoing service improvements that enhance the overall customer experience.
Successful candidates will be required to conduct work within Ontario and must be available to work on campus at 299 Doon Valley Dr. in Kitchener. The Associate will be scheduled to work 24 hours per week, Monday to Friday, 8:30 a.m. to 2:00 p.m., or 11:00 a.m. to 4:30 p.m. Occasional travel to the Waterloo or Cambridge campuses may be required based on operational needs.
Responsibilities
Customer service and campus store operations
- Serve as a primary point of contact for inquiries related to Campus Store products, services, and policies
- Assist customers by identifying needs, answering questions, resolving concerns,
and connecting them with appropriate resources
- Process sales, refunds, gift card purchases, ONE Card transactions, departmental purchases, sponsored student transactions, and special orders through the Point-of-Sale (POS) system
- Investigate and respond to customer concerns while maintaining confidentiality and professionalism
- Support the achievement of store sales objectives by promoting products, services, and initiatives
- Complete opening and closing procedures, including cash reconciliation and reporting
- Maintain accurate documentation, records, signage, and reference materials
ONE Card, parking, and locker services
- Provide support to students, employees, and visitors through email, phone, online tools, and in-person interactions
- Manage inquiries related to ONE Card, parking, and locker services
- Support card production processes, including photo approvals, card printing, activation, distribution, and record maintenance
- Investigate and resolve service issues using College systems and databases
Merchandising and inventory management
- Maintain attractive and accurate merchandise displays in accordance with Campus Store standards
- Replenish stock and organize inventory in retail and storage areas
- Ensure store, work, and storage areas remain clean, organized, and well-maintained
- Assist with receiving, shipping, and inventory-related activities
Team and event support
- Provide day-to-day guidance and support to temporary and casual staff as assigned
- Ensure daily and weekly store walkthroughs are completed
- Assist with special events and service initiatives, including laptop distribution, uniform fitting events, textbook rental activities, and convocation
Qualifications
- Two-year diploma in Business, Retail Management, Office Administration, or a related field is required
- Minimum two years of experience in customer service, retail operations, or a related service environment
- Demonstrated commitment to providing excellent customer service
- Strong interpersonal, communication, and conflict resolution skills
- Proven ability to investigate issues, identify solutions, and respond effectively to customer needs
- Strong organizational skills with the ability to manage multiple priorities
- Proficiency with Microsoft Office applications and database systems
- Ability to work independently and collaboratively in a team environment
- Ability to maintain accurate records and handle confidential information with discretion
