About the Practice An established and growing psychology practice in Mississauga is seeking an experienced, highly organized Marketing & Operations Manager to help oversee practice operations, marketing, and continued business growth.
The practice includes a multidisciplinary team of mental-health professionals providing evidence-based psychological treatment and assessment services to adults.
This is a hands-on management position combining practice operations with marketing and business development. The position will initially be approximately two days per week, in person in Mississauga, with approximately one day focused on operations and one on marketing and growth.
There is potential for the position to expand to additional days as the practice grows and workload increases.
The Role
Working closely with the Practice Director, the Marketing & Operations Manager will take responsibility for two key areas.
Practice Operations
Responsibilities will include
- Supervising and coordinating the work of the practice's administrative assistant
- Reviewing current administrative processes and establishing clear, productive policies and standard operating procedures
- Overseeing referral and intake processes
- Monitoring clinician schedules, capacity, utilization, and practice performance
- Tracking practice growth, revenue, conversion, and other key performance indicators
- Working with professional associates regarding administrative and operational matters
- Identifying operational problems and implementing practical solutions
- Assisting with recruitment, interviewing, onboarding, and retention of psychologists, psychotherapists, social workers, and other professional staff
- Helping ensure that administrative systems support an excellent client and clinician experience
- Providing concise reporting to the Practice Director regarding operational issues, risks, growth opportunities, and areas requiring attention
This is not a clinical management position and does not involve supervision of clinical care.
Marketing & Practice Growth The successful candidate will also coordinate and improve the practice's marketing activities, including:
- Monitoring and helping manage Google Ads campaigns
- Working effectively with external advertising, website, and marketing providers
- Reviewing advertising performance, lead generation, conversion, and return on marketing expenditures
- Coordinating the practice's social media marketing
- Planning and overseeing digital marketing initiatives
- Identifying opportunities to promote practice services and individual clinicians
- Developing referral relationships and other sources of new clients
- Monitoring referral sources and new-client acquisition
- Supporting the development and marketing of growing service areas
- Establishing measurable marketing and growth objectives
- Monitoring progress toward agreed-upon practice growth and sales targets
We are looking for someone who can move beyond simply posting on social media and can think strategically about how marketing activity translates into inquiries, bookings, clinician utilization, and sustainable practice growth.
Qualifications
Preferred qualifications include
- Bachelor's degree; an undergraduate degree in psychology is strongly preferred
- Previous experience working in a psychology, psychotherapy, mental-health, medical, or allied-health practice
- Experience with Google Ads
- Experience with social media and digital marketing
- Experience supervising or coordinating administrative staff
- Strong organizational, project-management, and problem-solving skills
- Comfort working with referral data, revenue targets, performance indicators, and business metrics
- Experience recruiting and onboarding healthcare or professional staff is an asset
- Excellent written and interpersonal communication skills
- Ability to work independently, take ownership of projects, and follow through without extensive day-to-day direction
Experience with healthcare practice-management software, CRM systems, Google Analytics, or similar tools would also be an asset.
Who Will Thrive in This Role The successful candidate will likely be someone who is:
- Proactive and comfortable taking initiative
- Highly organized and interested in improving systems and procedures
- Warm, professional, and appropriately assertive
- Comfortable working with clinicians, administrative staff, and external vendors
- Business-minded and interested in practice growth
- Analytical and interested in understanding what drives referrals and revenue
- Able to balance day-to-day operational demands with longer-term projects
- Interested in helping develop an established and expanding professional practice
Hours and Compensation The position will initially involve approximately two full days per week, both in person in Mississauga. Specific working days can be discussed with the successful candidate.
Salary range: $32,000–$38,000 annually, depending on experience, for the initial two-day-per-week role.
