Job Description:
We are looking for a detail-oriented Legal Secretary to support corporate legal work for a Contract position based in Toronto, Ontario. This opportunity is ideal for someone who is organized, responsive, and confident managing documentation, deadlines, and communications in a busy legal workplace. The successful candidate will contribute to corporate filings, record maintenance, and transaction support while helping ensure accurate and timely completion of legal administrative work.
Responsibilities:
- Prepare and submit a range of corporate filings, including incorporations, annual returns, amendments, and dissolutions, with accuracy and timeliness.
- Keep corporate records and minute books current by organizing, reviewing, and updating legal documentation on an ongoing basis.
- Produce corporate materials such as written resolutions, meeting minutes, and related documentation to support legal and regulatory requirements.
- Perform corporate profile reviews and due diligence searches to gather information required for transactions and compliance matters.
- Provide administrative and document support for corporate activities such as mergers, acquisitions, and internal reorganizations.
- Assemble closing binders, prepare completion documents,
and maintain orderly transaction files for easy reference and audit readiness.
- Monitor key filing dates and statutory deadlines to help maintain compliance with applicable federal and provincial obligations.
- Liaise professionally with clients, public offices, and colleagues to coordinate information, submissions, and document follow-up.
Requirements:
- Minimum of 3 years of experience in a Legal Secretary or similar legal support role.
- Demonstrated experience supporting corporate law matters, including filings, record maintenance, and transactional documentation.
- Strong working knowledge of legal documentation practices and document management procedures.
- Proficiency with Adobe Acrobat and case management software in a legal office setting.
- Experience coordinating schedules, tracking deadlines, and maintaining accurate calendars using tools such as CompuLaw.
- Ability to prepare, organize, scan, copy, and manage high volumes of confidential legal materials with care and precision.
- Familiarity with litigation-related documentation, including pleadings, is considered an asset.
- Excellent written and verbal communication skills, with the ability to interact effectively with clients, agencies, and internal teams.
