Job Summary The Benefits Analyst is responsible for the administration, allocation, reconciliation, and reporting of employee benefit-related expenses across multiple agencies. This highly analytical role supports the accurate processing of group benefits, Health Care Spending Accounts (HCSA), and Personal Spending Accounts (PSA) for approximately 3,800 employees across 54 Marketing Communication agencies.
The successful candidate will manage large volumes of employee and financial data, prepare detailed cost allocations, invoices, reconciliations, payroll adjustment files, and HRIS data transmissions. This position requires advanced Excel skills, exceptional attention to detail, and the ability to work independently in a fast-paced environment
DutiesKey Responsibilities
Group Benefits Administration
- Review and analyze monthly group benefits premium statements received from the benefits provider.
- Allocate benefit costs across 54 agencies based on employee participation and applicable charges.
- Prepare monthly wire transfer requests for benefit premium payments.
- Generate intercompany invoices and supporting detail schedules for all agencies.
- Ensure timely and accurate processing of approximately 108 monthly benefit invoices.
Health Care Spending Account (HCSA) Administration
- Review monthly Health Care Spending Account statements from the provider.
- Allocate expenses by agency and prepare supporting cost analysis.
- Prepare monthly wire transfer requests.
- Generate intercompany invoices and detailed billing statements for participating agencies.
- Prepare payroll adjustment files for Payroll Administrators to process employee charges and reimbursements.
- Investigate and resolve discrepancies as required.
Personal Spending Account (PSA) Administration
- Review monthly Personal Spending Account statements from the provider.
- Allocate expenses by agency and prepare supporting cost analysis.
- Prepare monthly wire transfer requests.
- Generate intercompany invoices and detailed billing statements for participating agencies.
- Prepare payroll adjustment files for Payroll Administrators to process employee charges.
- Ensure accuracy and completeness of all allocations and reporting.
HRIS and Data Management
- Prepare and submit weekly HRIS files to the perks provider.
· HRIS files contain all data changes for the week (new hires, terminations, LOA, address changes, salary changes, division and transfers)
- Validate employee data changes prior to submission and resolve discrepancies.
Payroll and Benefits Reporting
- Review and analyze semi-monthly payroll files received from benefits providers.
- Verify benefit-related changes against weekly HRIS submissions.
- Prepare payroll files detailing:
- One-time benefit adjustments
- Recurring benefit deductions
- Employee charge allocations
- Communicate required payroll updates to Payroll Administrators.
Reconciliation and Financial Analysis
- Perform monthly reconciliation of benefit premium statements against payroll deductions and accounting records.
- Reconcile benefit-related transactions across all 54 agencies.
- Identify and investigate discrepancies and work with internal stakeholders to resolve issues.
- Maintain accurate records and supporting documentation for audit and reporting purposes.
- Assist with ad hoc reporting and data analysis requests.
- Post-secondary education in Business Administration, Finance, Accounting, Human Resources, or a related field is preferred.
Experience
- Experience working in a high-volume administrative, financial, data analysis, or reporting environment.
- Experience managing and analyzing large datasets.
- Experience with invoicing, reconciliations, and financial reporting is considered an asset.
Technical Skills
- Advanced proficiency in Microsoft Excel is required, including:
- Pivot Tables
- VLOOKUP
- XLOOKUP
- Data validation and analysis tools
- Large dataset management
- Experience with Mail Merge and Microsoft Office applications.
- Strong aptitude for working with HRIS, payroll, or benefits administration systems.
- Ability to manipulate, analyze, and reconcile large volumes of data accurately.

Pay: Up to $65,000.00 per year
