Job Overview

We are seeking a dynamic and detail-oriented Office Administrator to join our team on a contract basis. This role offers flexible scheduling and the chance to contribute to a respected arts charity. You will support daily office operations, coordinate events, manage administrative tasks, and assist our volunteer Board of Directors, all while fostering an inspiring environment for artists and art enthusiasts alike.

Duties

- This person must be self directed, have the ability to prioritize and have effective time management skills
- A degree of flexibility is required as this position has a variety of cycles with daily, monthly and annual activities
- Drivers licence and occasional use of a vehicle is required to support the set up and tear down of exhibitions and events

The early part of the year January to the first week of May is busier / mid-May-June less so, depending if any events or exhibitions being organized, summer months are quieter with no board meetings - ramping up once again in September through early December. When exhibitions and other event are running the number of hours will be higher, including occasional weekend days. The majority of the time the hours can be flexible to ensure that requests, emails and calls are answered in a timely manner.

Responsibilities

This contract position works closely with the President, while providing support for the Board, Chairs of Committees and /or Exhibitions and support event coordination. Event support could be access to a car to load paintings, physically being able to lift/pack paintings and deliver to couriers.

- General administrative duties including responding to inquiries from our membership,



data entry, and document management to ensure accurate record-keeping
- Coordinate meetings, prepare agendas and minutes
- Support the budgeting processes, including tracking expenses and working with the bookkeeper to prepare financial reports quarterly and annually
- Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools
- Maintain organized filing systems, both electronic and paper-based, ensuring easy retrieval of documents
- Support event planning activities by coordinating schedules, preparing materials, and managing logistics
- Assist with bookkeeping to track expenses, invoices, and donations
- Provide exceptional customer service by responding promptly to inquiries via phone or email
- Proofread communications for clarity and accuracy before distribution

Experience

- Proven experience in an administrative role or office management position is preferred
- Strong organizational skills with a keen attention to detail
- Familiarity with clerical duties such as data entry, filing, and document preparation
- Previous experience working with a Board and Membership organization an asset
- Knowledge of basic accounting, budgeting and comfortable with on-line banking and programs such as PayPal
- Proficiency in standard office software applications (e.g., Microsoft Office Suite) is required, as well as interfaces with those people using Apple devices
- Ability to learn new software systems including but not limited to, ArtCall for exhibitions entry, TicketTailor for workshops, Zoom, MailChimp
- Familiarity with Wordpress website platform helpful, but not required
- A commitment to the Arts or charitable organizations would be an asset
- Excellent customer service
- Interpersonal communication skills, including variety of tech skills & working with members that have less tech experience

Pay: $26.00 per hour

Expected hours: 15.0 – 20.0 per week
