Urban Legal Recruitment is pleased to be assisting our valued client, a highly regarded national law firm, with the recruitment of a Receptionist to join its Calgary office.The Receptionist is responsible for welcoming clients and visitors, anticipating their needs, and directing them to the appropriate person or boardroom. As the "face" of the firm, this individual will also answer incoming calls and provide memorable customer service experiences to both internal and external clients.Work ScheduleMonday to Friday, 8:30 a.M. to 4:30 p.M., with flexibility to work additional hours as necessary.Principal Duties and Responsibilities.Act as the first point of contact for all visitors to the Calgary office, including greeting and welcoming guests, determining the nature of their visit, and responding to requestsProvide exceptional customer service to callers through the firm's switchboardMonitor the office voicemail inbox and take or relay messages as requiredWork closely with Office Services and Technical Support to ensure meetings are set up effectively and efficientlyAccept and process Attorney for Service documents as receivedUpdate InterAction, internal floor plans, and telephone directories on the firm's intranetAssist with conference and meeting room bookingsMaintain the visitor log and issue visitor passes as requiredReceive and relay facilities-related concerns, including washroom issues, spills,
or other incidents requiring attentionProvide support to other members of the team when appropriate and necessaryComplete other duties, administrative support, or special projects as assignedProvide assistance to other departments as required, with training providedRemain flexible and willing to support a variety of departments and business needsQualificationsPrevious switchboard, reception, or office administration experience is considered an assetPrevious experience within a law firm environment is considered an assetProficiency with Microsoft Office, including Outlook, Word, Excel, and TeamsFamiliarity with telephone and internal communication systemsExceptional customer service skills and a high level of professionalismStrong written and verbal communication skillsExcellent interpersonal skills and the ability to interact confidently with clients, visitors, and colleaguesAbility to work independently in a fast-paced, team-oriented environmentProfessional, accountable, responsive, and proactive approachDemonstrated initiative and commitment to supporting the broader teamAbility to occasionally lift approximately 10 to 15 pounds, including paper or bankers' boxesOur client offers a professional and cooperative work environment and the opportunity to become an important part of a highly regarded national law firm.If you are polished, personable, and passionate about providing exceptional service, we would love to hear from you.
