Position Summary:Reporting to the Manager, Human Resources, and as a member of the Human Resources team, the Human Resources Coordinator is responsible for the administration of confidential Human Resource functions including all administrative duties for the HR department, recruitment and selection, payroll-related functions, developing and maintaining various reports, and research and correspondence for various HR related activities and projects.Duties and Responsibilities:Act as primary lead for preparing payroll communication forms & updating payroll communication spreadsheet entries for new hires, terminations and changes to employee payroll informationAct as primary lead for administering completion and filing of new employee forms with new hiresAssist with Recruitment & Selection of current hires for primarily Home Office roles, and may also include background work for Inns North hotels and Co-op management roles. This may include the following:pre-screening of candidatescoordinating and/or conducting preliminary interviewsconducting reference checksrequesting criminal and credit background checksbooking travelfollowing up with candidates regarding the status of their applicationpreparing job offer letters & contract extensionsconducting exit interviews with departing employeesconducting stay interviews with new hires within their first three months of employmentAdminister content updates on the Arctic Hub (internal intranet) which includes drafting and scheduling staff announcements/or updates,
maintaining HR files and formsOrganize and lead a quarterly group orientation session for new home office staffPerform employee account setup and probationary reviews in Trakstar for performance managementIn conjunction with the HR team, review of mid-year and year-end employee reviews in Trakstar for Home Office; provide coaching/feedback to leaders and employees on reviewsOrganize and/or attend career fairs, both virtual and in-personTrack employee work permitsOversee temporary staffing needs of all areas; maintain relationship with staffing agenciesCoordinate internships & summer student co-op positions through colleges & universities; conduct on-campus interviews with U of M Asper school of business candidatesDevelop external ads as required, determining appropriate external resources for ad placements & work with hiring managers to determine ad content. Suggest alternate ways of advertising to increase volume of applicants. Oversee Indeed account and work with rep to negotiate our pricing package & make suggestions to amend the package as necessaryCoordinate various Home Office programs, such as Take Your Kids to Work DayPerform general human resource administrative functions including electronic file management, correspondence, employment verification letters, expense claim reports, Removal of Access checklists,
maintenance of various spreadsheets and reports, monthly billings, revising forms as required, and other ad hoc reports as requiredRespond to questions/queries from Arctic Co-ops staff, including in-scope staff, requiring knowledge of current collective bargaining agreement, as well as out of scope staff, candidates, and various outside agenciesWith the full HR team, make recommendations to update policies and procedures and increase department efficienciesPerforms the duties of the other HR team members as required during periods of absencePerforms other related duties as assigned.Qualifications:Two to three years' experience in a Human Resources capacity; Post-secondary education in Human Resources, and/or working towards completion of a certificate program with the desire work towards CPHR designation with a commitment to learning and developmentUnderstanding of collective agreement administration; Excellent judgement with the ability to juggle multiple priorities and tasks, many that are deadline-driven; Excellent communication skills (both verbal and written); Exceptional time management skills with attention to detail; Proficient in HR software products; High level of integrity with the ability to keep confidential information secure; Customer service orientation with the ability to relate to all levels of staff; Good problem solving skills; Ability to identify problem areas and streamline processes; Ability to be self motivated and take initiative; Ability to makea positive contribution within a team environmentAbility to travel if required.
