Location: Vancouver, BC

Position: Part-time, 22–25 hours per week

Wage: $28–$30 per hour, depending on experience

Schedule: Flexible weekday schedule. There is flexibility in how the weekly hours are arranged, with a consistent schedule established with the successful candidate.

About Peak House

Peak House is a voluntary, fully funded youth substance-use treatment program serving youth from across British Columbia. Located in Vancouver and operated by Pacific Youth and Family Services Society, Peak House has supported youth and families for more than 35 years.

About the Position

We are looking for an experienced, highly organized and technologically confident Administrative & Operations Assistant to help keep our day-to-day administrative and operational systems running smoothly.

This is a varied role for someone who likes keeping things organized, solving practical problems and getting things done. You will work closely with the Executive Director and Program Manager and have considerable independence in managing routine administrative work.

This is not an accounting, HR decision-making or management position. Peak House works with an external accountant and auditor, and management retains responsibility for organizational, financial and personnel decisions.

What You’ll Do

· Provide day-to-day administrative support to the Executive Director and Program Manager.

· Prepare and professionally format letters, forms, reports, spreadsheets and other documents.

· Manage calendars, routine correspondence, records, databases and filing systems.





· Maintain confidential personnel files and track required credentials, certifications and documentation.

· Support employee benefits enrolment and liaise with our benefits provider as needed.

· Compile invoices, receipts and payment documentation; prepare routine cheques for management review; and provide organized documentation to the external accountant.

· Notice and flag missing information, inconsistencies, unusual items or departures from established patterns.

· Research products and service providers, obtain and organize quotes, and coordinate approved vendors, appointments and routine services.

· Maintain a current list of management priorities, projects, deadlines and outstanding action items, and provide a brief weekly summary of what requires follow-up.

· Help improve administrative processes and identify more efficient ways of working.

· Learn and use platforms such as Notion, scheduling software, databases, app-based systems and approved AI tools.

We’re Looking For Someone Who

· Has at least three years of solid administrative or office experience.

· Is highly proficient with Microsoft 365, particularly Word, Outlook and Excel.

· Can create polished, professionally formatted documents.

· Can manage several competing tasks without needing step-by-step direction.





· Follows work through to completion and keeps outstanding items visible.

· Notices when information, documentation, numbers or processes do not look right.

· Uses good judgment about what can be handled independently and what needs management input.

· Is comfortable learning current software and technology.

· Enjoys improving systems and finding more efficient ways of doing things.

· Communicates clearly and professionally and handles confidential information appropriately.

Experience with financial administration, Notion, databases, Canva, AI tools or nonprofit organizations is an asset but is not required.
