Qualifications
MINIMUM FORMAL EDUCATION/TRAINING:
- Minimum of Bachelor’s degree required, plus seven years of directly related experience, preferably in a post-secondary environment required.
EXPERIENCE:
- Experience leading and supervising a team of employees, including directing, coaching, developing, performance management, performance review and feedback, required.
- In-depth knowledge of university admissions processes and governing regulations required.
- Extensive and detailed knowledge of the provincial (Manitoba) high school system, the national and international education systems and credentials, as well as international testing services, and other education systems required.
- Must have experience in advising/guidance roles, working with computers, public relations and public speaking, and managing projects or events.
- Experience with staff training and the implementation of measuring and evaluation tools.
- Experience with leading complex projects is required.
- Experience in managing a substantial operating budget is preferred.
- An acceptable equivalent combination of education and experience may be considered.

OTHER JOB RELATED QUALIFICATIONS:
- Preference will be given to those with experience in Student Recruitment,
Admissions or in a senior level Academic Advising role.
- Previous experience with an admission system implementation would be a strong asset.
Key responsibilities
MANAGERIAL & LEADERSHIP
- Participate as an active member of the Office of the Registrar and Enrolment Services (ORES) Management team.
- Create, maintain and implement a strategic plan for the Admissions Office.
- Responsible for the hiring, training, management and performance evaluation of all staff in Admissions.
- Responsible for preparing the budget of the Admissions Office and for the budget control.
- Maintain strong working relationships with key contacts at various levels within the Faculties.
- Remains current on capability of the systems infrastructure supporting the overall admission processes.
- Responsible for identifying opportunities to streamline and where possible automate business processes. Work closely with IST to implement any systems changes.
- Using the Admissions system, ensures admissions related data is analysed and made available to key stakeholders on a regular basis.
- When required, provides council to Senior Administration and faculties on best practices with regards to matters involving admissions.
- May be asked to serve as Acting Deputy Registrar and Director of Enrolment Management when the Deputy Registrar and Director of Enrolment Management is away from the office.
ADMISSIONS PROCESS MANAGEMENT
- Responsible for all day to day aspects of the Admissions Office including but not limited to: requests for information about admissions, timely processing of all undergraduate applications, creation/maintenance of a communication plan for applicants and admitted students, the assessment of transfer credits and the transition of a student from applicant to registered.
- Monitors the organization, planning, implementation, control and evaluation of an efficient, fair and comprehensive system of admission to all undergraduate programs. This system requires a thorough understanding and coordination of the requirements and goals of the academic units, the needs and academic varieties of students, and the established policies and regulations of the University.
- Overseas the evaluation of Canadian, American and other international academic and related documents for authenticity and completeness. Manages staff who are responsible for the development and maintenance of an up-to-date equivalency table of the grading system of Canadian and international post-secondary institutions.
- Monitors the applicant pool for exceptions and precedents and undertakes an annual review of procedures.
- Participates on a regular basis with program-based admission selection committees. Where required, participates in selection interviews with these committees.
- Is responsible for ensuring the accuracy and presentation of applicant data at selection meetings as well as ensuring that, in the selection of students,
faculties observe all due processes and Senate-approved policies. Ensures that the decisions reached by selection committees are duly recorded and that appropriate follow-up services (advising students of admission decisions, handling requests for reconsideration and for any subsequent appeal to the Senate Admissions Appeals Committee) are implemented.
- Ensures that written and oral communication with applicants is maintained by the Admissions Office throughout the selection process using a variety of correspondence tools (email communications, individual letters, form letters, computer-generated letters, information packages, telephone and in-person contacts).
- Oversees the preparation and analysis of statistical data and reports as it relates to applicants for admission and selection projections; in addition, the Associate Registrar and Director ensures the exchange and distribution of these reports to the relevant qualified schools throughout Canada.
- Oversees the clerical duties of file maintenance, document collection and assessment, handling of routine updates and enquiries.
- Is responsible for the research and writing of all printed material used in the selection of students for undergraduate academic programs, including application information bulletins, supplemental application forms, reference forms, acknowledgement sheets, vetting forms, and selection summary sheets.
STUDENT ADVISING/RECRUITMENT
- Serves as a resource person for schools, government and social agencies, parents and members of the general public in providing information about the University of Manitoba and the requirements and admission processes of its undergraduate programs.
- Assists the Associate Registrar and Director of Student Recruitment in providing off-campus recruitment services including making presentations at high schools and representing the University at career fairs, symposiums, parent nights, etc., as required. May be asked to take one or two international recruitment trips per year which could last for up to two weeks per trip.
- Acts as a resource person for the International Centre for Students and the Office of Student Advocacy.
- Other duties as assigned.
