This role provides essential administrative and concierge support, ensuring a warm, professional, and efficient experience for our residents and guests.About The RoleThe successful candidate would need to be available for mostly night shifts.As a Resident Services Assistant at Shannon Oaks, Oak Bay, you will be an ambassador of hospitality, providing administrative support to the business office and delivering exceptional service to residents, families, and visitors. Reporting to the Resident Services Manager, you will handle general office tasks, respond to resident inquiries, manage emergency calls, and maintain accurate records, all while fostering a welcoming and supportive community environment.Key ResponsibilitiesAct as an ambassador of Baptist Housing, modeling organizational values and demonstrating servant leadershipProvide professional reception services, answering inquiries from residents and visitors via phone or in personRespond promptly to resident medical emergencies, primarily by contacting 911Perform general office duties, including photocopying, faxing, filing, ordering supplies, and maintaining office equipmentCreate and manage documents and spreadsheets using Microsoft Word and ExcelFacilitate new resident onboarding, including setting up confidential files,
and managing logistics like lockers, parking, and keysMaintain a confidential resident database and accurate tenancy recordsRecord meal tickets, compile daily attendance lists, and prepare monthly census reports for billing purposesTrack and invoice resident charges (housekeeping, meals, utilities) and respond to related inquiriesReceive and communicate maintenance requests via the Maintenance Care programSupport resident move-ins, move-outs, and transitionsMaintain resident earthquake kitsAssist the Administrator with projects, participate in team meetings, and support resident eventsAttend work-related conferences and seminars for professional developmentPromote a culture of health and safety, ensuring compliance with WorkSafe BC regulations.RequirementsSecondary school graduationFormal training in basic accounting and Microsoft Word/ExcelEmergency First Aid – Community Care training (St. John Ambulance or equivalent)Minimum of 3 years' experience as a Resident Services Assistant or equivalent combination of training and experienceExceptional interpersonal, communication, and problem-solving skillsProficiency in Microsoft Office,
with strong Word and Excel skillsKnowledge of basic accounting and billing practicesHighly detail-oriented with excellent organizational and time-management skillsAbility to maintain confidentiality and handle sensitive informationService-oriented mindset with the ability to work independently and collaborativelyAbout YouYou're compassionate, professional, and service-oriented, with a natural ability to connect with residents, families, and team members.
